Job summary

Rippedboxstation is seeking a Virtual Assistant to coordinate patient scheduling and communications for a Singapore-based schedule while operating remotely from the Philippines. This role focuses on accuracy, responsiveness, and secure handling of patient information.

You will manage bookings in Cliniko, respond to inquiries via WhatsApp, handle waitlists, recalls, and records with strict confidentiality and professional communication.

Qualifications

• Proven experience in virtual assistance, healthcare administration, patient coordination, or scheduling.
• Experience with appointment systems/calendars/CRM (Cliniko is a plus).
• Excellent written and verbal English communication.
• Strong organisational skills and attention to detail.
• Ability to work independently in a remote environment.
• Comfort communicating with patients via WhatsApp.
• Experience in healthcare or allied health preferred.

Responsibilities

• Manage patient bookings, rescheduling, and cancellations using Cliniko.
• Process requests within the same business day.
• Ensure patient data accuracy and complete intake/referral details.
• Schedule new patients per clinic procedures.
• Secure initial and follow-up appointments.
• Maintain practitioner schedules and reduce gaps.
• Respond to patient inquiries via WhatsApp (Zeya Converse).
• Coordinate with internal teams to avoid missed messages.
• Monitor waitlists and offer available slots.
• Contact waitlisted patients when cancellations occur.
• Follow up on new inquiries and re-engage inactive leads.
• Manage recalls through Cliniko and ensure timely follow-ups.
• Escalate risks to the Practice Manager.
• Maintain patient records and ensure confidentiality per PDPA.
