The US Payroll Specialist is responsible for supporting accurate and timely payroll processing for a large U.S.-based workforce while ensuring compliance with federal, state and local payroll regulations.
Operating within a Global Business Services environment, this role supports payroll operations through data validation, transaction processing, issue resolution and cross-functional collaboration. The position contributes to payroll accuracy, compliance and a positive associate experience by delivering high-quality payroll support and service.
Process payroll transactions including earnings, deductions, adjustments and tax updates in alignment with payroll policies and procedures
Validate payroll and timekeeping data by reviewing reports, identifying discrepancies and escalating issues as appropriate
Support payroll processing activities for multi-state U.S. payroll operations while maintaining high levels of accuracy
Assist with off-cycle and manual payroll payments by validating supporting documentation and required approvals
Research and resolve associate payroll inquiries related to pay, taxes, deductions and timekeeping through ServiceNow or similar case management systems
Maintain accurate timekeeping records by entering historical corrections and updates within UKG or related workforce management systems
Generate pre-payroll and post-payroll reports to support audits, reconciliations and operational reviews
Prepare ad hoc payroll reports and data extracts to support business requirements and decision-making
Collaborate with Human Resources, Finance and Workforce Management teams to resolve payroll-related issues and ensure process continuity
Follow established payroll controls, financial compliance requirements and processing deadlines
Protect confidential payroll and employee information through secure data handling practices
Support continuous improvement initiatives that enhance payroll accuracy, efficiency and service delivery
1–2 years of U.S. payroll processing experience in a shared services, business process outsourcing or multi-state payroll environment required
Knowledge of U.S. payroll regulations, tax withholding requirements and payroll processes required
Workday Payroll experience required
UKG Time and Attendance experience required
Knowledge of Microsoft Excel for payroll reconciliation, reporting and data validation required
Experience in a global or matrixed Human Resources operations environment preferred
Knowledge of ServiceNow or similar ticket management systems preferred
Bachelor's degree in Business Administration, Finance, Accounting or a related field required
Fundamental Payroll Certification (FPC) – PayrollOrg preferred
Proficiency in Microsoft Excel including pivot tables, formulas, filtering, sorting and VLOOKUP functions
Ability to analyze and validate payroll and timekeeping data with a high degree of accuracy
Strong attention to detail and commitment to data integrity
Knowledge of payroll concepts including gross pay, net pay, tax withholdings, deductions, benefits, pay periods and Form W-2
Ability to follow standard operating procedures and maintain compliance in a highly regulated environment
Effective written and verbal communication skills
Strong problem-solving and issue-resolution capabilities
Ability to manage multiple priorities and meet payroll processing deadlines in a high-volume environment
Proficiency in Microsoft Word and other business productivity applications
Accurate numeric data entry skills and basic mathematical aptitude
