The Track and Trace Associate's primary responsibility is to track a load through different systems, via email or phone, keep all order status updated with the arrival, departure times, and location updates, and follow up with the loads in general. Also, the Track and Trace position must communicate and report the information of the load to McLeod for visibility and advisement to prioritize and support the team with the tasks assigned. Must be actively working to ensure all loads are moving as scheduled and communicate with the dispatcher about any issues or events.
Responsibilities List:
- Keep the load's dashboard always updated.
- Mainly work on “At Shipper”, “Progress” boards according to employee’s seniority.
- Acknowledge any notification from partners and register all load information received from the carrier or driver in the system.
- Take care of inbound and outbound calls and provide excellent service.
- Provide detailed notes within McLeod system.
- Confirm pick up and deliveries as needed.
- Reach out to carriers to confirm shipping hours and if the load is ready.
- Check and track all the loads assigned and update the check calls.
- Call drivers or dispatchers to request ETA and current location.
- Forward PODs or any document related to the load to the proper department.
- Communicate or escalation any day-to-day operational case to the Shift Lead and proceed as instructed.
- Other duties as assigned.
Qualifications & Requirements
- Communication Skills: Proven written and verbal communication skills. Must be able to have difficult conversations in a professional and respectful manner.
- Technical Proficiency: Proficient in Microsoft Office (especially Excel) and computer literacy. Experience with logistics-specific software like McLeod or MacroPoint is a significant advantage.
- Logistics Knowledge: Basic understanding of U.S. Geography and U.S. Time Zones.
- Analytical & Problem-Solving Skills: Strong ability to solve problems and analyze reports.
- Organization & Time Management: Highly organized with great attention to detail. Ability to manage time effectively under stress and balance multiple priorities.
- Interpersonal Attributes: Must be a collaborative team player with a professional attitude. Key personal traits include honesty, trustworthiness, punctuality, and patience.
- Operational Flexibility: Ability to work in a 24/7 operation with schedules assigned based on business needs.
- Physical Requirement: Comfortable spending the majority of the shift sitting and using office equipment/computers.
