Job Overview
The Logistics Tracking & Tracing Specialist is responsible for day-to-day load monitoring and real-time tracking of freight across supply chain systems. Serving as a key connection point between carriers, drivers, and clients, this entry-level role ensures complete shipment visibility by capturing accurate updates on arrival times, departure times, and transit status.
This role is ideal for candidates with at least 1 year of BPO experience who have excellent communication skills and are eager to grow their career in logistics. Prior experience in Track and Trace operations is a big plus!
Load Tracking & Tracing
Active Track & Trace: Place check-calls to drivers and dispatchers to confirm locations, verify shipping hours, check load readiness, and update accurate ETAs.
System Updates: Log detailed notes, timestamps, and load status updates into our Transportation Management System (TMS) promptly.
Milestone Tracking: Monitor assigned loads from pick-up to delivery to ensure shipments stay on schedule.
Dashboard Maintenance: Keep internal load tracking boards up to date throughout your shift.
Client & Carrier Communication
Clear Communication: Deliver polite, concise, and professional status updates via phone, email, and chat systems to clients, carriers, and internal teams.
Issue Escalation: Spot transit delays or potential issues early and inform team leads or planners so solutions can be found quickly.
Team Collaboration: Work alongside logistics planners and support the wider team with daily administrative tasks.
Documentation Support
Document Handling: Help gather, double-check, and forward Proof of Deliveries (PODs), Rate Confirmations, and shipping paperwork to the right departments.
Discrepancy Checks: Assist in following up on missing paperwork or status discrepancies.
Data Privacy: Keep company, accounting, and client information secure and confidential.
Activity is tracked weekly to support team goals and client expectations:
Call Volume: Target of 250 tracking calls per week.
Status Updates: Target of 150 load status updates logged per week.
Responsiveness: Quick response times on phone and chat channels to keep updates moving fast.
Experience
1+ Year of BPO Experience: At least 1 year of experience working in a BPO environment (voice or blended customer service/operations).
Track & Trace Experience (Plus): Previous exposure to freight tracking, dispatching, or Track and Trace operations is a strong advantage.
Skills
Strong English Communication: Good verbal and written communication skills with a professional, friendly phone presence.
Attention to Detail: Precise with data entry, typing notes correctly, and capturing full status details.
Adaptable & Willing to Learn: Quick to learn new systems and processes in a fast-paced setting.
Basic Computer Skills: Comfortable using multiple screens, web browsers, and communication software at the same time.
Training will be provided
TMS: McLeod TMS or similar logistics software
Communication: RingCentral Softphone, MS Teams, Microsoft Outlook
Office Tools: Microsoft Excel and Word
