Job Summary
We are seeking a detail‑oriented Timekeeping Specialist to manage employee attendance records with accuracy and efficiency. The role ensures payroll accuracy, compliance with company policies, and timely reporting of attendance data.
Key Responsibilities
- Accurately process, consolidate, and maintain employee time logs using GreatDay or similar timekeeping systems.
- Validate daily attendance records (in/out logs) and correct discrepancies.
- Maintain an updated and reliable timekeeping database.
- Coordinate with system administrators to resolve technical issues and attendance discrepancies.
- Review and validate overtime, leave, and undertime applications.
- Ensure compliance with company policies and proper approvals.
- Coordinate with employees and supervisors for corrections and clarifications.
- Monitor completeness of required documentation.
- Track and analyze attendance patterns including tardiness, undertime, and AWOL cases.
- Generate regular attendance and compliance reports.
- Escalate issues to HR or department heads when necessary.
- Ensure consistent implementation of attendance policies.
- Prepare and submit accurate timekeeping reports for payroll processing.
- Ensure completeness of attendance data prior to payroll cut‑off.
- Coordinate with payroll team on discrepancies and adjustments.
- Assist in resolving payroll‑related attendance concerns.
- Assist employees with benefits and attendance‑related inquiries.
- Support HR initiatives on employee engagement and wellness programs.
- Coordinate welfare checks and assist during employee assessments when needed.
- Work closely with department heads for timely approvals of attendance transactions.
- Respond to timekeeping‑related queries and provide process guidance.
- Follow up on pending submissions and approvals.
- Ensure adherence to company policies, legal standards, and audit requirements.
- Maintain organized, audit‑ready timekeeping records.
- Support internal audits by preparing necessary documentation.
- Recommend process improvements for efficiency and accuracy.
- Assist in HR projects, administrative tasks, and employee engagement activities.
- Perform other duties as assigned by management.
Qualifications
Education: Bachelor’s degree in Behavioral Science, Business Administration, or related field.
Experience: At least 3 years of experience in timekeeping, preferably familiar with GreatDay System.
Work Schedule: 9 AM to 6 PM, Monday to Saturday.
Headcount: 50 staff.
