JOB SUMMARY
The Technical Assistant provides administrative, financial, and technical support to the General Administration, Land Acquisition, and Legal Departments. This position handles day-to-day property operations, including processing property-related expenses, keeping property records organized, assisting with land transfer documents, and coordinating with internal teams and external contacts. The role also provides basic mapping support using AutoCAD and Google Earth and helps prepare property budgets and reports.
DUTIES AND RESPONSIBILITIES
- Provides administrative and technical support to the General Administration, Land Acquisition, and Legal Department.
- Processes and monitors payment requests for property-related expenses, including:
- Annual Real Property Tax (RPT) payments.
- Annual property appraisal expenses.
- Maintains and updates property fact sheets, property profiles, and records of all properties.
- Files, organizes, and safekeeps important property documents, including land titles, tax declarations, acquisition documents, and other related records.
- Assists in the preparation and processing of land acquisition and transfer documents, such as Deeds of Absolute Sale, Extra-Judicial Settlements, Special Powers of Attorney (SPA), and other related documentation.
- Monitors documentation requirements, timelines, and budgets for land acquisition and property transactions.
- Coordinates with the Legal Department regarding property-related issues and documentation.
- Coordinates with government agencies, landowners, brokers, contractors, caretakers, security providers, and other external stakeholders regarding property and land-related matters.
- Monitors properties under Joint Venture developments, including Lipa, Trece Martires, and Natipuan.
- Coordinates with the Accounting Department regarding payment requests, cash advances, reimbursements, liquidations, and budget requirements.
- Prepares the mid-year and annual operating budgets for company properties.
- Monitors property-related operational expenses and budget utilization.
- Prepares property status reports and other reports as required by management.
- Assists in plotting property lots using AutoCAD and preparing location references through Google Earth, when needed.
- Facilitates the annual sale of mango harvests from the Tanay property to employees.
- Performs other duties as may be assigned by the General Administration Manager / OIC, Land Acquisition and Development.
QUALIFICATIONS AND REQUIREMENTS
- Bachelor's degree in Business Administration, Real Estate, Office Management, or any related field.
- At least 1 of experience in property management, real estate support, or administrative work.
- Basic knowledge of AutoCAD (for lot plotting) and Google Earth (for mapping locations).
- Good skills in Microsoft Office (Word, Excel, PowerPoint).
- Basic understanding of land documents (titles, tax declarations, deeds, SPAs).
- Good organizational skills for handling and filing important documents.
- Good communication skills for coordinating with agencies, workers, and managers.
- Careful with numbers, budgets, and payment processing.
