Studio Assistant (Onsite)
Job Description:
Studio Administration:
- Manage the day-to-day administration activities of the company.
- Complete and monitor daily, weekly and monthly operational and administrative checklists (late cancel/no show fees, expiring intro offers, single class purchase follow ups, class packs running low, membership holds, membership cancellations).
- Maintain accurate studio records, files, systems and documentation.
- Manage administrative tasks within Mindbody, Axle, NetGym and other company systems.
- Ensure information across studio systems is accurate and up to date.
- Prepare and submit weekly studio reports.
- Maintain internal trackers, spreadsheets and operational documents.
- Manage general studio correspondence and administrative requests.
- Complete ad-hoc administrative tasks for the Studio Partner and Studio Managers.
- Identify outstanding tasks and follow them through to completion without needing constant direction.
Member Administration & Communication:
- Monitor and respond promptly to studio emails and member enquiries.
- Assist members with general account, booking and membership queries.
- Manage member accounts and administrative issues through Mindbody and Axle.
- Process account updates and other routine member administration.
- Support member outreach activity using Axle and Mindbody.
- Ensure member communications are friendly, accurate, timely and consistent with the company's core brand.
- Escalate complex membership or member experience matters to the appropriate manager.
Scheduling & Instructor Administration:
- Maintain class schedules within NetGym and relevant studio systems.
- Process approved permanent and temporary schedule changes.
- Coordinate class cover administration and ensure changes are accurately reflected across systems.
- Keep instructors informed of scheduling updates.
- Maintain instructor availability and leave records.
- Assist with finding cover for classes and flag unresolved covers to the Studio Manager.
- Maintain instructor records and required documentation.
- Support the administration of instructor onboarding, induction and offboarding.
- Coordinate training enrolments and other onboarding requirements.
- Track First Aid, CPR and other required instructor certifications and expiry dates.
- Support recruitment administration, including coordinating interviews and trial classes.
Studio Operations:
- Support the smooth day-to-day operation of both studios.
- Monitor completion of operational and studio checklists.
Reporting & Systems:
- Prepare weekly operational reports for management.
- Maintain accurate data and reporting across studio systems.
- Review reports and identify missing information or outstanding actions.
- Assist with tracking studio metrics including attendance, new members, membership activity and other operational KPIs.
- Maintain recurring task lists and ensure deadlines are met.
- Support implementation and ongoing administration of new studio systems and processes.
- Look for opportunities to simplify and improve administrative processes across both studios.
Marketing & Community Administration:
- Provide administrative support for marketing and community activity, rather than owning the overall marketing strategy, including:
- Maintain and update the studio marketing and community calendar.
- Schedule and coordinate approved Axle email and member communications.
- Assist with the administration of CorePlus HQ campaigns and local studio activations.
- Coordinate logistics for studio events, partnerships and community initiatives.
- Maintain partnership and community contact lists.
- Organise promotional materials and other campaign requirements.
- Assist with tracking campaign activity, redemptions and results.
- Support the Studio Partner and relevant managers with administrative execution of marketing initiatives.
Team Administration & Communication:
- Assist with internal team communications relating to schedules, operational updates and studio information.
- Maintain instructor contact details and administrative records.
- Prepare and distribute relevant information and documentation to the team.
- Help ensure actions arising from meetings and operational discussions are followed up.
- Be a reliable point of contact for routine administrative questions from the team.
Qualifications:
- Experience in administration, studio operations, fitness, hospitality, retail or another fast-paced customer-facing environment is a plus.
- Confident in learning and using multiple software systems, particularly:
- Mindbody
- Axle
- NetGym
- Email and shared calendars
- Microsoft Office / Google Workspace
- Studio reporting and tracking tools
- Company operational systems and platforms
- Ability to distinguish between something that can be resolved independently and something that needs to be escalated.
- Ability to take initiative and follow tasks through to completion.
- Comfortable managing multiple priorities across two locations.
