Job summary

Cloudstaff Philippines Inc. is seeking a Shipping Administrator to manage bulk shipment bookings, coordinate with freight forwarders, and ensure on-time delivery across all brands. You will track ETAs, prepare quotes for sea and air shipments, and keep planning teams informed of changes.

The role emphasizes accuracy in documentation, invoicing support, and proactive issue resolution, with collaboration among planning, production, finance, and suppliers to optimize freight times and costs.

Qualifications

Proven experience in shipping administration, logistics, import/export coordination, freight coordination, or supply chain support.
Experience managing bulk shipment bookings, shipping documentation, ETA/ETD tracking, and freight forwarder coordination.
Strong understanding of customs documentation, compliance requirements, and invoice validation.
Experience working with suppliers, freight forwarders, planning teams, finance teams, design and production teams, and distribution centre teams.
Strong experience in cross checking shipping documents, invoices, packing lists, and rate cards with a high level of accuracy.
Experience managing sea and air freight quotes, shipment issues, and escalations.
Strong administrative and reporting skills, with experience maintaining shipping trackers and shipment updates.
Ability to manage multiple deadlines, bookings, shipments, and stakeholders across multiple brands.
High level of organisation, attention to detail, and problem-solving ability.
Strong written and verbal communication skills.
Ability to work proactively, follow up effectively, and ensure timely completion of tasks.
Experience supporting Trusted Trader compliance or similar customs/trade compliance processes is highly regarded.
Experience in retail, apparel, fashion, or consumer goods supply chain environments is highly desirable.

Responsibilities

Shipping administration: management of bulk shipment bookings with vendors and freight forwarders across all brands.
Cross-check bookings against due dates to ensure on-time delivery with buffers.
Ensure bookings are placed in advance to avoid delays and coordinate with freight forwarders to meet goals.
Raising and resolving shipping issues with freight forwarders and escalating concerns to account managers.
Raising and managing quotes for sea and air shipments and sharing breakdowns with planning teams.
Keep planning teams updated on ETAs, delays, and stock availability in regular meetings.
Coordinate with planning to adjust ETDs to meet updated store dates and sales needs.
Maintain shipping trackers for DC and brands; review and update ETAs from freight forwarders.
Invoicing: ensure invoices are received timely, cross-check against packing lists, and resolve discrepancies.
Distribution centre delivery planning for container arrivals and safe unpacking.
Trusted Trader compliance documentation and audits preparation and filing.
