What is the job?
The Service Operations Coordinator is responsible in US based service operations by managing work orders, coordinating service activities, maintaining operational documentation, and ensuring timely completion of inspection and repair workflows.
Responsibilities:
- Review customer sites and shared inboxes to log new work orders accurately.
- Validate work order details and escalated missing info to Account Managers.
- Coordinate work orders with branches and contractors, ensuring complete documentation.
- Maintain inspection schedules and track upcoming service activities to hit deadlines.
- Follow up with contractors for schedule confirmations and outstanding requirements.
- Update customer portals with scheduled visits, service statuses, and inspection reports.
- Review completed inspection reports for accuracy, signatures, and proper documentation.
- Draft service quotes using branch-provided photos, labor details, and material info.
- Compile invoice packets and supporting documents once service is completed.
- Track open work orders and generate daily operational reports on pending items.
- Expert in Philippine labor laws and HR compliance, proven through 3+ years of handling due process and terminations, statutory pay computations, government-mandated contributions, and DOLE/NLRC matters.
- Highly preferred with experience in BPO, shared services, or high-growth environments.
- Experience managing HRBP teams across multiple business units.
- Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field.
Qualifications:
- Minimum of two (2) years of back-office, service coordination, operations support, or administrative coordination experience supporting US, Australia, or UK based companies.
- Experience working with any ticketing systems, work order platforms, dispatch systems, or service coordination tools.
- Comfortable working inside a ticketing, work order, dispatch, or service coordination system.
- Demonstrates strong attention to detail and ability to follow established processes and checklists.
