Service Administrator & Warranty Processor (Onsite)
Job Description:
- Perform batch print checks, including:
- Recall checks
- Warranty date verification
- Confirmation of correct service bookings
- Update manufacturer portals with current customer details
- Review of customer complaints
- Check labour times
- Manage electronic batch printing processes for service operations.
- Coordinate with the Spare Parts team through email correspondence to resolve and update parts pricing.
- Complete pre-costing and CPS costing requirements accurately.
- Process and finalise fleet authorisations through online portals and phone communication.
- Order head units, schedule customer bookings, and maintain/update tracking spreadsheets.
- Conduct follow-up calls for no-show customer bookings and assist with appointment rescheduling using PhoneHub, accessible to all SAs.
- Provide backup support for invoicing completed repair orders.
- Manage and monitor Online Service Bookings (OSB) to ensure accurate scheduling and customer communication.
Qualifications:
- Proven experience in automotive service administration or similar role.
- Experience in customer booking coordination, scheduling, and follow-up communication.
- Proficiency in Dealer Management Systems (DMS) or equivalent platforms.
- Proficiency in Microsoft Office applications.
- Knowledge of warranty, repair order, fleet authorisation, and service coordination processes.
- Familiarity with invoicing systems (i.e., processing, updating, and managing service-related transactions).
- Strong organisational and time management skills with high attention to detail.
- Strong problem-solving skills with the ability to work independently and proactively.
- Excellent written and verbal communication skills.
