Job summary

SMEC in the Philippines is seeking a seasoned Proposals Coordinator to manage EOIs and tender submissions for international infrastructure projects. You will coordinate content, supervise coordinators, and ensure timely, high‑quality bid documents.

The role requires fluent English, strong drafting skills, and experience with MS Word, Excel and PowerPoint. You will develop templates, maintain document repositories, and collaborate with technical managers to improve win rates.

Qualifications

• At least ten (10) years solid experience in preparing proposals for infrastructure projects for international financial institutions.
• Excellent written and spoken English, including grammar and vocabulary.
• Knowledge of best practices in EOI/Proposal development.
• Ability to work independently and as part of a team.
• Strong prioritization and meeting tight deadlines.
• Proficiency in MS Word, Excel, PowerPoint; graphics software preferred.

Responsibilities

• Delegate assignments and supervise the output quality of other coordinators.
• Coordinate seamless flow of activities during proposal preparation.
• Prepare monthly market intelligence reports.
• Compile and edit EOIs/Proposals with technical input under managers' guidance.
• Review and revise documents including CVs and PDSs for bids.
• Set scope and timeline of EOIs/Proposals and coordinate with contributors.
• Develop knowledge of business and services by reviewing prior bid documents.
• Develop templates and maintain a document repository.
• Update project experience tables and data sheets for new projects.
• Build up photo library for proposals.
• Develop desktop publishing capability for covers and promotional materials.
• Keep all parties informed on progress and outcomes.
• Ensure QA in accordance with SMEC procedures.
• Prepare monthly win/loss and cost reports.
• Assist in researching partners and associates.
• Recommend improvements to systems and procedures.
