This role serves as the primary operational specialist supporting accommodation and complex leave programs across the organization. The position partners closely with HR Operations, Benefits, Legal, HR Business Partners, managers, and third-party administrators to support compliant and consistent administration of workplace accommodations, disability-related leaves, return-to-work programs, and related employee support processes.
This is a senior individual contributor role focused on case management, program administration, stakeholder consultation, process optimization, and compliance support.
Coordinate workplace accommodation requests under the Americans with Disabilities Act (ADA), Pregnant Workers Fairness Act (PWFA), and applicable state and local accommodation requirements for US employees.
Facilitate and document the interactive process between employees, managers, HR Business Partners, Legal, and other stakeholders.
Review medical certifications and supporting documentation for completeness and alignment with accommodation requests.
Prepare accommodation recommendations and case summaries for review and decision-making by HR leadership and Legal.
Monitor implementation and effectiveness of approved accommodations and coordinate periodic accommodation reviews.
Maintain confidential accommodation documentation and case records.
Serve as the primary resource for complex leave and disability-related cases requiring elevated review, interpretation, or coordination.
Partner with leave administrators and vendors to monitor case progression, documentation requirements, return-to-work activities, and employee communications.
Provide guidance to managers, leaders, and employees and other stakeholders regarding leave program processes, documentation requirements, and compliance considerations.
Support resolution of escalated leave-related issues and employee concerns.
Coordinate return-to-work planning related to medical leaves, accommodations, disability programs, and workers' compensation matters.
Collaborate with managers and HR partners to identify transitional work arrangements and accommodation options.
Support initiatives designed to improve employee retention, workplace accessibility, and successful return-to-work outcomes.
Partner with workers' compensation administrators and disability vendors to ensure coordinated case management.
Ensure accommodation and leave programs are administered in accordance with established company policies and procedures.
Identify potential compliance risks and elevate concerns appropriately.
Support audits, inquiries, reporting requests, and documentation reviews.
Maintain program documentation, workflows, templates, and operational standards.
Serve as a primary operational partner to third-party leave, disability, accommodation, and workers' compensation vendors.
Monitor vendor service levels, case handling quality, documentation requirements, and operational effectiveness.
Collaborate with Legal, Benefits, HR Operations, Payroll, HR Business Partners, and managers to support a consistent employee experience.
Identify opportunities to improve accommodation and leave administration processes.
Develop standard operating procedures, manager guides, training materials, and employee resources.
Assist with implementations, system enhancements, reporting improvements, and operational projects related to absence and accommodation programs.
Analyze trends and recommend opportunities to improve efficiency, employee experience, and risk mitigation.
Knowledge of ADA accommodation processes and interactive process administration.
Working knowledge of FMLA, CFRA, PWFA, disability programs, and related leave regulations.
Strong case management and documentation skills.
Ability to manage sensitive and confidential employee information.
Strong analytical and problem-solving capabilities.
Strong judgment and ability to recognize situations requiring escalation.
Excellent verbal and written English communication skills.
Ability to work effectively with employees, managers, legal counsel, and external vendors.
Advanced proficiency with Workday and HR case management systems.
Bachelor's degree in Human Resources, Business Administration, or a related field.
7+ years of progressive HR experience.
3+ years of direct experience supporting employee accommodations, leave administration, disability management, or similar HR compliance programs.
Experience participating in and coordinating accommodation discussions and interactive process activities.
Strong investigation, documentation, and case management experience.
Demonstrated ability to exercise discretion and maintain confidentiality.
Ability to work US Pacific time zone hours
Experience supporting California leave and accommodation programs.
Workday Absence Management experience.
Experience managing relationships with leave, disability, accommodation, or workers' compensation vendors.
HR certification or leave/accommodation-related certification.
Experience creating SOPs, training materials, and operational documentation.
