Job summary

Kaiterra is seeking an Executive Sales Assistant (ESA) to support Account Executives and manage the operational backend of the sales cycle. This hands-on role combines Sales Operations, Deal Coordination, CRM Management, and Project Management.

The ESA will coordinate opportunities with Legal, Finance, Logistics, and Customer Success, and prepare proposals, RFQs, SOWs, and other sales documents. This role requires strong English communication and a proactive, detail-oriented approach.

Qualifications

• 3–5 years of experience in Sales Support, Sales Operations, Deal Desk, or Project Coordination.
• Mandatory B2B SaaS, technology, IoT, or complex hardware/software experience.
• Strong CRM experience; HubSpot preferred.
• Experience preparing proposals, SOWs, RFQs, or technical/commercial quotations.
• Excellent English communication and stakeholder management skills.
• Highly organized, proactive, detail-oriented, and comfortable working under pressure.
• Strong ownership and follow-through.

Responsibilities

• Coordinate sales opportunities with Legal, Finance, Logistics, and Customer Success.
• Prepare proposals, RFQs, SOWs, quotations, and other sales documents.
• Maintain accurate CRM records, pipeline stages, close dates, and follow-ups.
• Track contracts, approvals, POs, and deal requirements.
• Coordinate client scheduling and sales logistics.
• Ensure smooth handover of closed deals to Customer Success.
• Identify bottlenecks and improve sales processes and resources.
