Job summary

MicroSourcing is seeking a Sales Coordinator at its Eastwood, Quezon City site for hybrid, night-shift coverage. You will provide high-level administrative and sales support to the Vice President of Sales, helping keep customers and opportunities organized and aligned with sales strategy.

The role requires a highly organized, detail-oriented professional who communicates clearly across sales, customer service, operations, R&D, purchasing, and accounting.

Qualifications

• 3+ years of experience in executive assistance or sales coordination.
• Excellent organizational and time-management skills.
• Strong written and verbal communication.
• Ability to manage multiple deadlines simultaneously.
• Experience with CRM/ERP systems is preferred.
• Experience in food manufacturing, ingredients, distribution, or B2B sales is a plus.

Responsibilities

• Manage the VP of Sales calendar, meetings, appointments, customer calls, and travel arrangements.
• Prepare the VP of Sales for customer meetings by assembling account information, pricing history, sales data, open opportunities, samples, and relevant correspondence.
• Track action items and follow-ups from customer meetings, sales meetings, and internal discussions.
• Draft and organize emails, presentations, meeting agendas, reports, and other sales-related materials.
• Coordinate meetings between customers, brokers, sales representatives, R&D, operations, purchasing, and other internal departments.
• Maintain organized records of customer conversations, opportunities, pricing discussions, and commitments.
• Assist with customer quotations, pricing requests, product information, sample requests, and sales documentation.
• Follow up internally to ensure customer requests and sales-related projects are completed on schedule.
• Help maintain accurate customer, contact, opportunity, and activity information within the company's CRM and ERP systems.
• Monitor open sales opportunities and assist the VP of Sales with pipeline management and follow-up.
• Prepare weekly and monthly sales reports, customer summaries, opportunity reports, and other requested analysis.
• Assist with tracking new customer opportunities, new product projects, samples, trials, and product launches.
• Coordinate customer visits, plant tours, sales presentations, trade shows, and industry meetings.
• Assist with broker and sales representative communications, including commission information, customer activity, and follow-up items.
• Maintain confidentiality regarding customer pricing, contracts, company financial information, and other sensitive business matters.
• Act as a liaison between the VP of Sales and internal departments to help resolve issues and keep projects moving.
• Identify overdue follow-ups, outstanding customer requests, or internal bottlenecks and proactively bring them to the VP of Sales attention.
• Handle additional administrative and sales-support responsibilities as needed.
