CJVR Group, Inc. is seeking a Project Sales Coordinator to provide administrative and operational support to the Sales and Marketing Department. You will manage documentation, coordinate with buyers, agents, brokers, and internal teams, and ensure regulatory compliance from reservation to turnover.
The role includes monitoring sales transactions, assisting in loan processing, and preparing regular sales reports while ensuring accurate records and smooth communications with clients.

The Project Sales Coordinator provides administrative and operational support to the Sales and Marketing Department in managing project sales transactions. The role ensures accurate documentation, proper coordination with buyers, sales agents, brokers, and internal departments, and compliance with regulatory requirements set by the Department of Human Settlements and Urban Development (DHSUD). The position also assists in monitoring sales performance, maintaining sales records, and facilitating smooth processing of buyer transactions from reservation to unit turnover.
1. Sales Documentation Processing
Prepare, review, and process buyer documents including Reservation Agreements, Contracts to Sell, and Buyer Information Sheets.
Ensure completeness and accuracy of buyer requirements before submission to management and other departments.
Maintain proper documentation of all sales transactions.
2. Coordination with Sales Team and Clients
Act as the main point of coordination between clients, sales agents, brokers, and the internal departments.
Provide updates regarding unit availability, reservation status, and buyer requirements.
Address client inquiries and assist in resolving concerns related to documentation and payments.
3. Monitoring of Sales Transactions
Track and monitor sales transactions from reservation to contract signing and turnover.
Maintain updated sales records, buyer profiles, and unit inventory status.
4. Buyer Account Monitoring
Monitor buyers’ payment schedules and coordinate with the Accounting Department for payment verification.
Follow up buyers for post-dated checks and other payment requirements.
Ensure timely submission of payment documents.
5. Loan Processing Assistance
Assist buyers in preparing requirements for housing loan applications with banks and government housing agencies such as Home Development Mutual Fund (Pag-IBIG Fund).
Coordinate with partner banks regarding loan application status.
6. Sales Reporting
Prepare and submit daily, weekly, and monthly sales reports.
Maintain updated sales trackers, reservation logs, and inventory monitoring sheets.
Provide sales performance data to the Sales Manager.
7. Compliance and Records Management
Ensure sales documentation complies with regulations and requirements of the Department of Human Settlements and Urban Development (DHSUD).
Maintain organized filing and database management of buyer and project documents.
8. Coordination with Internal Departments
Coordinate with Accounting for payment verification and receipting.
Coordinate with Legal for contract preparation and documentation.
Coordinate with Project Management for construction updates and turnover schedules.
9. Support for Sales Events
Assist in organizing project launches, open houses, and marketing events.
Prepare sales kits, project information materials, and documentation for agents and brokers.
10. Administrative Support
Maintain sales databases and monitoring systems.
Perform other related duties as assigned by management.

Percentage of error-free processed sales documents.
Timely Processing of Sales Transactions
Average turnaround time from reservation to contract preparation.
Sales Records Management
Updated and accurate maintenance of inventory and sales trackers.
Client Response Time
Timely handling of client inquiries and requests.

Percentage of loan applications successfully endorsed to banks or housing agencies.
Report Submission Compliance
On-time submission of required sales reports.

Education
Bachelor’s Degree in Business Administration, Marketing, Real Estate Management, or any related field.
Experience
At least 1–2 years experience in real estate sales administration, sales coordination, or related role is preferred.
Knowledge
Familiarity with real estate sales processes and documentation.
Basic knowledge of housing loan processing and buyer documentation.
Understanding of regulatory compliance requirements from the Department of Human Settlements and Urban Development (DHSUD).
Skills
Strong organizational and documentation skills.
