The Sales/Event Coordinator is a dual-impact role responsible for both securing business and ensuring its flawless execution. This position involves generating comprehensive event proposals, converting leads into bookings, and managing all logistical operations from the initial inquiry to the final post- event report. The coordinator acts as the primary liaison between the client and the hotel's internal teams to deliver a seamless, high-quality event experience.
Key Responsibilities
1. Sales & Revenue Generation
- Proposal Development: Draft and present professional event proposals and quotations tailored to client needs and budget requirements.
- Active Selling: Proactively promote and sell the hotel's event spaces, catering packages, and room blocks to potential clients during site visits or inquiries.
- Contracting: Negotiate terms and finalize contracts to secure bookings, ensuring all documentation is accurate and aligned with hotel pricing policies.
- Lead Conversion: Follow up on inquiries and leads to maximize venue occupancy and meet departmental sales targets.
2. Event Planning & Logistics
- Site Inspections: Lead venue tours and "ocular" inspections, providing expert recommendations on layout and logistics to help close the sale.
- Technical Readiness: Ensure all Audio-Visual (AV) equipment, including projectors and sound systems, are tested and fully functional prior to the event.
- Collateral Management: Oversee the preparation of all event materials, including signage, registration kits, and printed agendas.
3. Interdepartmental Coordination
- Function Sheets (BEOS): Prepare and distribute detailed Function Sheets and setup diagrams to all departments to ensure everyone is aligned with the client's vision.
- F&B & Kitchen Liaison: Communicate meal timings, special dietary requirements, and menu execution details to the Food & Beverage team.
- Facility Management: Coordinate with Housekeeping and Engineering for optimal room cleanliness, lighting, climate control, and electrical requirements.
4. On-Site Execution & Supervision
- Event Management: Serve as the primary on-site point person, managing the registration process and ensuring a smooth program flow.
- Team Leadership: Brief and assign responsibilities to setup crews and service staff before each event.
- Problem Solving: Provide immediate, on-the-spot troubleshooting for any technical or logistical issues that arise during an event.
Qualifications:
- Bachelor’s Degree in Hospitality Management, Tourism Management, Marketing, Business Administration, or any related field.
- Willing to be employed under agency.
- At least one (1) year of experience in hotel sales, events coordination, banquet operations, or related hospitality work is an advantage.
- Fresh graduates with strong communication and organizational skills are welcome to apply.

- Ability to manage multiple events and tasks under pressure while maintaining attention to detail.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
