About the role
The Project Sales & Documentation provides administrative and operational support to the Sales and Marketing Department in managing project sales transactions. The role ensures accurate documentation, proper coordination with buyers, sales agents, brokers, and internal departments, and compliance with regulatory requirements set by the Department of Human Settlements and Urban Development (DHSUD). The position also assists in monitoring sales performance, maintaining sales records, and facilitating smooth processing of buyer transactions from reservation to unit turnover.
Key responsibilities
Prepare, review, and process buyer documents including Reservation Agreements, Contracts to Sell, and Buyer Information Sheets
Ensure completeness and accuracy of buyer requirements before submission to management and other departments
Act as the main point of coordination between clients, sales agents, brokers, and internal departments
Track and monitor sales transactions from reservation to contract signing and turnover
Maintain updated sales records, buyer profiles, and unit inventory status
Monitor buyers' payment schedules and coordinate with the Accounting Department for payment verification
Assist buyers in preparing requirements for housing loan applications with banks and government housing agencies
Prepare and submit daily, weekly, and monthly sales reports
Ensure sales documentation complies with regulations and requirements of the Department of Human Settlements and Urban Development (DHSUD)
Coordinate with Accounting, Legal, and Project Management departments
About you
Bachelor's Degree in Business Administration, Marketing, Real Estate Management, or any related field
At least 1–2 years experience in real estate sales administration, sales coordination, or related role is preferred
Familiarity with real estate sales processes and documentation
Basic knowledge of housing loan processing and buyer documentation
Understanding of regulatory compliance requirements from the Department of Human Settlements and Urban Development (DHSUD)
Strong organizational and documentation skills
Excellent communication and coordination skills
Proficiency in Microsoft Office applications (Excel, Word, PowerPoint)
Attention to detail and ability to manage multiple transactions simultaneously
