Job summary

VA Masters is seeking an experienced Online Business Manager to be the founder's right hand, building onboarding systems, leading project work, and coordinating a small support team for a growing coaching business.

You will translate ideas into repeatable processes, manage calendars and payments, and leverage AI tools to automate workflows while maintaining high standards of English communication and independent work.

Qualifications

• Proven Online Business Manager or Project Manager experience supporting coaches or service-based businesses.
• Strong track record building end-to-end client onboarding processes.
• Consultative approach with ability to translate ideas into structured plans.
• Excellent written and verbal English communication, detail-oriented and autonomous.

Responsibilities

• Build and manage full client onboarding for group coaching programs, including contracts, forms, welcome sequences, and process docs.
• Manage calendars, Zoom links, and session scheduling for group programs, aligning with founder's calendar.
• Track client payments, flag missed payments, and follow up on balances.
• Project manage multiple initiatives, turning high-level ideas into timelines and deliverables.
• Review and migrate existing systems and funnels to cleaner, scalable setups.
• Maintain lead databases, email lists, and CRM records.
• Support creation and optimization of lead magnets and marketing assets.
• Delegate tasks to team members, acting as central contact and quality checkpoint.
• Coordinate longer-term product and content projects, maintaining scope and progress.
• Identify opportunities to introduce AI tools and automation to reduce manual work.
