Job summary

ExecAssist Business Process Outsourcing Services seeks a detail-driven Operations Assistant to support a client's sales team by keeping the pipeline clean, organized, and moving. You won't close deals, but you'll ensure CRM data stays accurate and follow-ups don't slip.

This is a remote, client-dedicated placement embedded in the sales team; you will schedule meetings, coordinate calls across time zones, maintain reports, and drive efficient data workflows within the client's tools.

Qualifications

• 2+ years in a sales admin, sales operations, or executive assistant role.
• Hands-on experience with a CRM (Salesforce, HubSpot, Pipedrive, or similar).
• Strong Excel/Google Sheets skills; comfortable building clean reports.
• Excellent written communication — drafting emails on the team's behalf.
• High attention to detail; you catch the small things before they become problems.
• Ability to work independently, manage multiple priorities, and meet deadlines without heavy oversight.
• Comfortable working remotely and communicating across time zones.

Responsibilities

• Keep CRM records accurate and up to date.
• Monitor pipeline stages and flag stalled or overdue deals.
• Schedule and coordinate sales calls, demos, and client meetings across time zones.
• Prepare agendas, materials, and follow-up notes for sales meetings.
• Track outstanding follow-ups and draft templated outreach emails.
• Prepare and format weekly/monthly sales reports and pipeline summaries.
• Process orders, invoices, and basic contract paperwork.
