Job summary

Rockstar Global Careers is seeking a Patient Intake & Scheduling Virtual Assistant for a fully remote, full-time position at the front of the patient pipeline. You will ensure new patients move smoothly from referral to scheduled evaluation and keep therapists’ caseloads full across two clinic locations.

The role requires experience with medical scheduling, insurance verification, and coordinating between intake and admin teams.

Qualifications

• Experience in medical, healthcare, or dental scheduling front desk.

Responsibilities

• Review referrals and determine next steps.
• Verify insurance benefits and communicate findings to families.
• Generate and send financial agreements using IntakeQ.
• Coordinate with Intake Coordinator to move patients from referral to scheduled evaluation.
• Get initial evaluations on calendar across both locations.
• Manage therapist schedules across locations using PracticePro.
• Keep slots filled and identify gaps to fill.
• Coordinate scheduling from first contact to appointment.
• Handoff scheduled patients to in-office team.
