Job summary

Rockstar is hiring a Patient Intake & Scheduling Virtual Assistant for a fully remote, full-time position at the front of the patient pipeline. You will own two connected workflows: new patient intake and schedule management across two clinic locations, ensuring patients move from referral to scheduled evaluation efficiently.

Qualifications

• Experience in medical/healthcare/dental office setting, scheduling/front desk preferred.
• Proficient with Microsoft 365 (Outlook, SharePoint, Teams).
• Familiar with insurance benefits verification (co-pays, deductibles, authorizations).
• Strong written English communication with families via email.

Responsibilities

• Review incoming referrals and determine next steps.
• Verify insurance benefits for new patients and communicate findings to families.
• Generate and send financial agreements to new patients using IntakeQ.
• Coordinate with Intake Coordinator to move new patients from referral to scheduled evaluation.
• Get initial evaluations on the calendar across both clinic locations.
• Manage and maintain therapist schedules across two locations using PracticePro.
• Keep open slots filled and caseloads moving; identify and fill gaps.
