Job summary

GoLean Health is seeking a highly organized Virtual Medical Assistant to support a growing pediatric practice during its pre‑opening and early growth stages. This remote, part‑time role starts with 30 hours per week and will evolve as the clinic expands.

You will handle executive and front‑office tasks, scheduling, insurance verification, and patient communication, transitioning toward medical administrative support as patient volume increases.

Qualifications

• Hands‑on experience with eClinicalWorks (eCW) is REQUIRED.
• 1+ years previous experience as a Medical Virtual Assistant or healthcare admin.
• Strong administrative, organizational, calendar‑management, and task‑management skills.
• Excellent written and spoken English with patients, families, vendors, and healthcare professionals.
• Strong spreadsheet skills and the ability to organize information, research, projects, and workflows independently.
• Highly proactive and able to recognize what needs attention without reminders.
• Comfortable in a startup environment where priorities evolve.
• Able to multitask with strong attention to detail.

Responsibilities

• Manage physician calendars, meetings, deadlines, and prep materials; consolidate in one place.
• Attend admin and vendor meetings, take notes, document action items, and track follow-ups.
• Proactively track deadlines, projects, tasks, and outstanding items with minimal reminders.
• Handle front-office communications: calls, emails, texts, and inquiries once clinic opens.
• Coordinate end-to-end patient scheduling and intake with accurate data collection.
• Verify insurance coverage and perform eligibility checks before appointments.
• Research vendors and clinic equipment; compare options and organize findings.
• Develop SOPs and continuously improve workflows as the practice grows.
