Qualifications

• Strong written communication for SMS, email, and patient messages.
• Experience as Virtual Medical Assistant or healthcare front desk role.
• Able to handle high call volume in a fast-paced clinic.
• Patient-service mindset with empathy and judgment.
• Ability to multitask across calls, texts, emails, voicemails, and scheduling.
• Punctual, reliable attendance; proactive communication.
• Mac OS device ownership is required for this role.
• Reliable high-speed internet is essential.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to texts, voicemails, emails, and faxes in a timely manner.
• Schedule and manage new and existing patient appointments in MacPractice.
• Prioritize new inquiries and referrals.
• Conduct follow-up and reactivation outreach to inactive patients.
• Maintain accurate patient records and scheduling notes.
• Coordinate with in-office staff to keep the provider schedule full.
• De-escalate scheduling, billing, or insurance concerns with empathy.
• Know when to listen and offer callbacks rather than information overload.
• Support missed-call follow-up workflows within the practice.
• Protect patient privacy and follow HIPAA standards.
