Job summary

Outsourced.ph is seeking an Operations Support Specialist to provide cross-functional operational support across the Operations department in a foundation-level role. The position is homebased, with occasional travel to our Rome HQ for training and meetings.

You will assist with Fulfillment, Inventory, Reporting, Quality Assurance, and Process Improvement, while developing knowledge across multiple workflows and maintaining high standards of accuracy and guest experience.

Qualifications

• Previous experience in an administrative, operations, customer service, logistics, hospitality, travel, or similar environment.
• Excellent organisational skills and attention to detail.
• Strong communication skills in English, both written and verbal.
• Ability to prioritise multiple tasks while maintaining accuracy.
• Proactive approach to learning and problem-solving.
• Comfortable working within a fast-paced remote environment.
• Strong teamwork and collaboration skills.
• Proficiency with Google Workspace and modern collaboration tools.
• Willingness to learn multiple operational functions.

Responsibilities

• Provide operational support across multiple functions within the Operations department.
• Support and execute Fulfillment and Inventory activities and processes accurately while following established procedures and service standards.
• Assist with recurring operational workflows, ensuring tasks are completed accurately and within agreed timelines.
• Support audits and ensure data accuracy.
• Identify operational issues or risks and escalate them appropriately.
• Collaborate with colleagues across Operations, Product, and other business functions.
• Assist with documentation, SOPs, process updates, and continuous improvement initiatives.
• Maintain accurate operational records while ensuring compliance with company processes.
• Communicate professionally with internal and external stakeholders.
• Remain adaptable to changing business priorities and support operational needs across multiple teams.
