Job summary

Staffstream is hiring an Operations Coordinator for an Australian residential construction and joinery business. This remote role in the Philippines starts hands-on with the Director, then grows into a broader operations coordination position as systems are put in place.

You will own inbox and document control, track invoices, and help implement scalable workflows across both construction and joinery units, while coordinating content with the social media manager.

Qualifications

• Experience providing administrative or executive support to a business owner, director, or senior manager.
• Hands-on engineering work experience is a plus and helps in understanding project workflows.
• Systematic, process-driven work style with clear documentation habits.
• Experience with document/file structuring and maintaining folders.
• Exposure to accounts receivable or invoicing is advantageous.
• Ability to draft clear process documentation or SOPs.
• Comfort with learning new software platforms quickly.

Responsibilities

• Triage and manage the Director's inbox and correspondence.
• Create and maintain client folders and a consistent filing structure.
• Track invoices and accounts receivable; support staged invoicing for projects.
• Coordinate with the social media manager to prep content for posting.
• Document recurring workflows and help implement SOPs as the business scales.
• Provide general admin support across construction and joinery operations.
