Staffstream is recruiting for an Operations Coordinator role with an Australian design and fabrication business specializing in sails, shade structures, upholstery, and marine trimming. The business designs, procures, creates, and installs custom products for residential and marine clients, and strong quoting and sales process discipline is central to how it competes.
The business runs on ServiceM8 for field management and quoting, and Burdi for pricing and gross-profit calculation, and you'd become the expert operator of both: building quotes, checking profitability, and issuing proposals with real confidence and attention to detail. This isn't a role where you just process requests that land on your desk. You'd own the quoting and sales process end to end, follow it through to a won or lost outcome, and increasingly bring a critical eye to pricing and proposal quality as your experience grows. This role is open to candidates based in the Philippines.
What you will actually do
Quote preparation and pricing
- Collate incoming quote requests and transfer handwritten measurements and job details into ServiceM8 accurately, making sure all required information is captured completely before the pricing process begins.
- Use Burdi to build job pricing, applying the system's gross-profit calculation tools to make sure every quote is priced correctly, checking profitability before issue, and communicating allocated labour hours to the team.
- Issue finalised quotes through the ServiceM8 integration, making sure proposals are well-presented, clearly written, and positioned to give the business its best opportunity to win the work at a profitable margin.
Critical quote review and proposal improvement
- As your quoting experience develops, review proposals critically before issue, identifying when pricing looks too high, asking what may have been missed or miscalculated, and raising these questions rather than issuing a quote that's unlikely to win or unlikely to be profitable.
- Improve the quality and persuasiveness of written proposals, refining how jobs are described, how inclusions are presented, and how the business's value is communicated, with the goal of winning work on merit and proposal strength rather than through discounting.
Sales follow-up and opportunity management
- Own the sales process through to a final outcome, following up issued quotes with customers, answering questions, managing objections professionally, and maintaining engagement until each opportunity is won, lost, or withdrawn.
- Maintain accurate, current records of all active quote opportunities, tracking issue dates, follow-up status, and customer decisions within ServiceM8, making sure no opportunity goes quiet without a deliberate decision to close it.
- Identify patterns across won and lost quotes, bringing observations about pricing, scope, and proposal quality to the Business Owner to support continuous improvement of the quoting and sales approach over time.
Job coordination and operational support
- Support the operations team when work is won, assisting with job booking and scheduling, and helping make sure each project is set up to be delivered within the labour hours allocated in the original quote.
- Coordinate with external suppliers, subcontractors, and trade partners, managing communication, scheduling, and follow-through so jobs progress smoothly from commitment through to completion.
Billing, invoicing, and SOP development
- Support billing and invoicing activity, making sure completed jobs are invoiced accurately and on time, and following up outstanding payments where required.
- Document approved business processes as SOPs, capturing the quoting workflow, sales follow-up process, job coordination steps, and other operational procedures in a format that can be followed consistently and handed on without requiring the Business Owner to retrain from scratch.
What you need to bring
- Demonstrated experience in a quoting, estimating, sales support, or operations coordination role, ideally within a trades, construction, renovation, or field services business where quoting accuracy and margin management are central to operational success.
- Hands-on experience using ServiceM8 or a comparable field service management platform for quote preparation, job management, and customer communication.
- Numerical competence and a commercial mindset: comfortable working with pricing, gross-profit calculations, and labour hour allocations, and able to spot when numbers don't look right without being prompted.
- Strong written communication skills for producing clear, professional, and persuasive proposals, able to present a job's scope, inclusions, and value in a way that supports conversion.
- Genuine sales follow-up discipline: comfortable maintaining engagement with prospective customers through the decision‑making process, handling questions and objections professionally, and seeing each opportunity through to a clear outcome.
Nice to have
- Experience with Burdi or comparable job costing and gross‑profit calculation software, or demonstrated comfort learning pricing and costing tools quickly.
- Background in home renovation, marine trimming, upholstery, shade structures, awnings, canvas, or a closely related fabrication and installation trade or residential trades and construction environment.
- Experience writing SOPs and process documentation, able to translate informal or verbal processes into clear, structured documentation that others can follow independently.
- Experience coordinating with external suppliers, subcontractors, or trade partners in a project‑based operational environment.
