Job summary

Penbrothers, a nationwide talent partner, is seeking a National (Survey) Assistant Project Manager to support HVAC survey operations remotely. You will coordinate field technicians, project managers, clients, and internal stakeholders to ensure accurate scheduling, site readiness, and real-time visibility of deployments.

Working under the National Senior Project Manager, you will conduct QC reviews and provide essential administrative support to nationwide survey and installation projects,

Qualifications

• Native/fluent English proficiency (written and verbal).
• Proficiency in Microsoft Excel and Word; professional communication with internal/external stakeholders.
• Background in administrative support, operations coordination, scheduling, or project support; ability to manage multiple priorities; field service, construction, HVAC, or facilities management preferred.
• Strong attention to detail regarding data review and documentation; quality control experience a plus.
• Highly organized, self-motivated, process-driven, calm under pressure; solutions-oriented with technician-advocacy mindset.
• Familiarity with scheduling/project-tracking platforms, shared inbox management, basic HVAC/mechanical ventilation systems, or basic AI tools.
• Dedicated, quiet home office workspace with high-speed internet; availability for scheduling calls across multiple time zones.

Responsibilities

• Site & Pre-Survey Coordination: Perform site reviews using Google Earth to locate rooftop units (RTUs), roof access points, ladder requirements, and access constraints.
• Operational Tracking & Communication: Provide live status updates to stakeholders, reconcile schedules, manage team inbox for cancellations, and handle schedule changes and critical updates.
• Quality Control & Data Integrity: Review critical surveys for accuracy, completeness, and adherence to company standards; flag discrepancies for rapid resolution.
• Team & Administrative Support: Deliver operational and administrative assistance to support nationwide survey and installation projects.
