Job summary

HireHawk Inc. is looking for a Medical Records Clerk to support a U.S. personal injury law practice. This remote role focuses on requesting, tracking, and retrieving medical records and itemized bills from U.S. providers, with accurate follow-up to prevent delays.

You will work to close gaps, ensure HIPAA-compliant submissions, and coordinate with records leads and case managers, maintaining high-volume productivity.

Qualifications

• Experience requesting and retrieving US medical records.
• Experience supporting US personal injury matters.
• Strong spoken and written English with US providers.
• Knowledge of HIPAA authorizations and retrieval processes.
• Ability to manage high volume requests and deadlines.
• Excellent organizational skills and attention to detail.
• Proficiency with Excel and digital tracking systems.

Responsibilities

• Own medical records and itemized billing requests from submission to retrieval.
• Prepare and submit HIPAA-compliant requests and authorizations.
• Outbound follow-up with provider offices to move requests forward.
• Track requests, follow-ups, responses, and pending items in internal systems.
• Review records and bills for completeness and relevance to the case.
• Identify gaps and coordinate corrections with providers.
• Ensure documentation is available as personal injury matters progress.
• Coordinate with records leads, case managers, and internal teams.
• Manage a high volume of simultaneous requests while meeting productivity goals.
• Assist with claims-opening or related administrative processes.
