Virtual Staff 365 is hiring a Buying Assistant for a full-time remote role. You will support the Head of Buying, manage data in product and order systems, and coordinate stock transfers between stores and online fulfillment.

Responsibilities include maintaining supplier details, tracking orders, and ensuring critical path timelines are met while collaborating with internal teams. Strong Excel and English communication are essential.

Qualifications

• Experience in retail or administration is required.
• Excellent data entry accuracy and attention to detail.
• Strong organisational and time management skills.
• Proficiency with Microsoft Excel and general computer systems.
• Confident using Microsoft Teams for video calls and live chat.
• Clear and confident written and verbal English communication.
• Fast learner able to adapt to many tasks.
• Reliable workstation with dual monitors and fast internet.

Responsibilities

• Data and Systems Administration: input and maintain product info, purchase orders, and supplier details; keep internal systems and spreadsheets up to date; coordinate stock transfer paperwork and system updates.
• Supplier and Critical Path Coordination: track orders, request updates, manage the critical path, assist with sample tracking.
• Administrative Support and Team Communication: provide general admin support to the Buyer, manage documents, schedule, and communicate with internal teams to ensure smooth stock flow.
