About the Role
We’re looking for a highly organised and proactive Recruitment Assistant to support our recruitment team across the full candidate lifecycle. The role starts as a Recruitment Assistant and grows into a Recruitment Officer position as your skills and responsibilities develop. This is a hands‑on role focused on keeping our recruitment process moving. You’ll screen and engage candidates, manage recruitment administration, keep our applicant pipeline full, and help ensure great applicants are fully placed within 9 days. Key Responsibilities
Candidate Screening & Assessment
- Pre‑screen applicants against role criteria
- Complete reference checks
- Prepare candidate profiles
- Complete social media and online screening of candidates
Candidate Sourcing & Pipeline Management
- Proactively search Facebook groups and job boards for candidates who meet our criteria
- Contact suitable candidates and invite them to apply
- Keep the applicant pipeline full at all times
- Monitor the recruitment inbox and respond to applicants
Candidate Engagement & Retention
- Keep in touch with candidates throughout the application process
- Run candidate engagement campaigns
- Create infographics to support candidate attraction and engagement
- Schedule interviews and send reminders
Job Ads & Jobs Board
- Write and update job ads
- Manage the weekly jobs board
Onboarding & Documentation
- Manage candidate onboarding, including contracts and employment documents
- Follow up outstanding documentation
- File and maintain candidate and recruitment documents
- Flag certification expiry dates
Placement Delivery
- Move great applicants through the process so they are fully placed within 9 days
- Track candidate progress and follow up to prevent delays
What We’re Looking For
- Experience in a recruitment assistant, recruitment coordinator, or similar administrative recruitment role
- Experience pre‑screening candidates and completing reference checks
- Experience scheduling interviews and managing candidate communication
- Strong experience managing a high‑volume inbox
- Excellent written and verbal English communication skills
- Strong organisational skills and the ability to meet tight deadlines
- Ability to manage competing priorities independently
- High attention to detail, particularly with documentation and compliance
Technical Skills
- Applicant tracking systems or recruitment databases
- Facebook groups and online job boards
- Canva or similar design tools
- Microsoft Office and Google Workspace
- ChatGPT, Claude, or other AI productivity tools
Highly Desirable
- Experience in high‑volume or volunteer, care, or community‑based recruitment
- Experience working with Australian businesses
- Experience with contracts and employment onboarding documents
- Experience tracking certifications and compliance documents
