About the Role
We're looking for a highly organised and proactive Placement Coordinator to support our placement operations. You'll be the point of contact between prospects, clients, Educators, and families, keeping placements moving from first enquiry through to Day 1 compliance.
This is a hands‑on role with clear deadlines. You'll monitor the prospects inbox, complete confirmations, follow up with prospects, track compliance requirements, and make sure every placement is fully onboarded and documented on time.
This role starts as a Placement Coordinator and grows into a Placement Officer, Temp Desk.

Key Responsibilities
Prospect Management & Communication
- Monitor the prospects inbox and respond promptly
- Send confirmations
- Send personalised follow‑up emails to prospects
- Proactively search Facebook groups and job boards for prospects who meet our criteria
- Reach out to suitable prospects and invite them to apply, keeping the sales pipeline full
Compliance & Documentation
- Ensure clients have all NDIS paperwork completed
- Monitor ACCS timelines and the notification of letters
- Follow up outstanding documentation until complete
Placement Onboarding
- Ensure Day 1 compliance is completed by Educators and families in IHC
- Confirm all required forms are completed by everyone, including permission forms, tech plans, risk plans, home safety checklists, and educational planning
- Report Day 1 compliance as complete by end of day 1
Client Onboarding & Retention
- Create infographics to support client onboarding and retention
Placement Delivery
- Meet placement deadlines: temp desk jobs filled within 12 hours, permanent jobs filled within 19 days before the start date
- Keep placements on track and flag risks early
What We're Looking For
- Experience in an administration, recruitment support, placement, or client liaison role
- Experience managing a shared inbox and responding to enquiries promptly
- Experience following up documentation and compliance requirements through to completion
- Ability to work to strict deadlines
- Excellent written and verbal English communication skills
- Strong organisational skills and the ability to manage competing priorities independently
- High attention to detail and commitment to accuracy
- Confident communicating with families, Educators, and clients
Technical Skills
- Email and inbox management
- Microsoft Office and Google Workspace
- Canva or similar design tools
- Facebook groups and online job boards
- ChatGPT, Claude, or other AI productivity tools
- Applicant tracking or CRM systems
Highly Desirable
- Experience in recruitment, placement, or staffing
- Knowledge of NDIS compliance requirements
- Knowledge of ACCS
- Experience in childcare, in‑home care, or education
- Experience working with Australian businesses

What Success Looks Like
Within your first 90 days, you’ll:
- Manage the prospects inbox with prompt, consistent responses
- Keep NDIS and ACCS compliance on track for all placements
- Ensure Day 1 compliance is completed and reported by end of day 1
- Maintain a full sales pipeline through proactive prospect searching
- Support temp desk jobs being filled within 12 hours and permanent jobs within 19 days before the start date
- Become a trusted member of the placement team, ready to progress toward Placement Officer
Success in this role is measured by meeting deadlines, compliance accuracy, and your ability to keep placements moving without constant direction.
