Job summary

Sphere Rocket VA US is seeking a detail-oriented Real Estate Transaction Coordinator in the Philippines to support mortgage and property workflows. You will coordinate loan processing, deadlines, inspections, and post-close tasks, collaborating with lenders, processors, title companies, and inspectors.

You must have real estate transaction coordination experience, strong English communication, and familiarity with CRM systems such as GoHighLevel.

Qualifications

• Real estate transaction coordination experience (in real estate transactions or loan processing) in a corporate setup or as a Virtual Assistant (Required).
• Clear, neutral English accent with high comfort making phone calls to vendors and partners (Required).
• CRM experience, particularly with GoHighLevel (Plus).
• Strong written and verbal English communication skills.

Responsibilities

• Transaction & Loan File Management: Track contract-to-close milestones; handle routine calls to lenders, processors, title companies, and inspectors; open and monitor title workflows.
• Deadline & Document Tracking: Organize and submit loan documentation, answer processor inquiries, and track financing/closing deadlines to flag slipping dates.
• Inspection & Appraisal Logistics: Schedule property inspections, retrieve completed reports, and coordinate appraisals and insurance quotes.
• Post-Close & Property Setup: Execute property setup checklists, book photographers and cleaners for rental launches, coordinate utility setups, and manage handoffs to property managers.
• CRM & Reporting: Triage client email inboxes, update property pipelines and records in GoHighLevel, and deliver daily pipeline brief reports.
