Job summary

Sphere Rocket VA US is seeking a detail‑oriented Transaction Coordinator/Virtual Assistant to support real estate operations. You will manage buyer and seller files, prepare disclosures, upload documents to SkySlope or Dotloop, and keep MLS listings current across social channels.

The role requires strong English communication, proficiency with Google Workspace, and hands‑on experience with SkySlope, Dotloop, MLS databases, and PM tools.

Qualifications

• Transaction coordination experience in real estate listing and transaction coordination
• Direct hands-on experience using SkySlope, Dotloop, MLS databases, and project management applications
• Strong proficiency in Google Workspace applications (Gmail, Drive, Docs, Sheets, Calendar)
• Excellent written and verbal English communication abilities

Responsibilities

• Transaction & Document Management: Manage buyer and seller files from initial contact to closing; create compliance checklists and upload documents in SkySlope or Dotloop
• MLS & Marketing Administration: Prepare and upload property listings to the MLS and social media channels; upload property photos and attach required disclosures
• Vendor & Showing Coordination: Schedule photographers, repair technicians, cleaners, inspection teams, lockbox drop-offs, buyer showings, and public open houses
• Stakeholder Communication: Maintain email and phone correspondence with clients, real estate agents, attorneys, lenders, and title or escrow officers; request HOA/condo documentation
• Post-Close & Future Operations: Follow up post-closing to request client reviews and manage affiliate details; prepare future contracts, addendums, and pre-listing packets as assigned
