Job summary

DOXA Talent is seeking a Real Estate Operations & Marketing Coordinator in the Philippines. The role supports U.S.-based real estate teams with transaction coordination, CRM administration, and marketing execution in a fast-paced remote environment.

You will manage timelines, coordinate with title companies, lenders, and agents, and maintain CRM data while producing content for listings and social media. Advanced English required, EST-friendly hours.

Qualifications

• Bachelor's degree or technical degree in business, marketing, real estate, or related field.
• 3+ years supporting a U.S.-based real estate team, brokerage, agent, or business.
• Experience with real estate transaction coordination from contract to closing.
• Hands-on experience with KVCore or similar real estate CRM.
• Experience managing CRM automations, segmentation and lead workflows.
• Experience supporting marketing execution, social media coordination, and content scheduling.
• Experience working remotely with U.S.-based clients.

Responsibilities

• Manage transaction timelines from contract to close.
• Coordinate with title companies, lenders, inspectors, agents, clients, and stakeholders.
• Track key dates, contingencies, docs, and closing milestones.
• Maintain organized digital transaction files with accurate documentation.
• Proactively follow up to avoid delays and communication gaps.
• Maintain KVCore and related real estate CRM systems.
• Clean, tag, segment, and categorize contacts for follow-up.
• Build and update automated campaigns, workflows, and lists.
• Pull CRM reports to support sales and marketing decisions.
• Maintain data integrity and optimize CRM structure and automation.
• Create, format, and schedule marketing content using Canva and social tools.
• Prepare content for listings, open houses, promotions, and local messaging.
• Coordinate listing launches and social media activity; track engagement.
• Repurpose content across platforms with brand consistency.
• Track lead activity, conversation history, and next steps.
• Support appointment setting, pipeline tracking, and prospect nurturing.
• Escalate high-priority opportunities and ensure no lead falls through.
