Responsabilidades

• Clean up QuickBooks Desktop files and fix invoicing errors.
• Partner with office manager to clear AR backlog before year-end close.
• Prepare and send monthly recurring membership invoices on time.
• Reconcil AR and resolve outstanding balances, credits, and discrepancies.
• Apply payments correctly and follow up on unpaid or mismatched accounts.
• Support migration from QuickBooks Desktop to QuickBooks Online, including archiving data.
• Assist data migration and cleanup in a new billing platform.
• Document cleanup steps and processes for repeatability.
• Treat financial records as confidential.

Job Summary:

Our receivables backlog is about to meet its match in a detail-driven QuickBooks Accounts Receivable Specialist, who will clean up our books and correct invoicing errors ahead of year-end close. You will own monthly membership invoicing and AR reconciliation, then support our move from QuickBooks Desktop to QuickBooks Online. A careful, confidential, and proactive bookkeeper who is comfortable working closely with our office manager is the ideal fit.

Key Responsibilities:

• Clean up QuickBooks Desktop files, including fixing invoicing errors and miscoded transactions
• Partner with the office manager to clear the accounts receivable backlog before year-end close
• Prepare and send monthly recurring membership invoices accurately and on time
• Reconcile accounts receivable and resolve outstanding balances, credits, and discrepancies
• Apply payments correctly and follow up on unpaid or mismatched accounts
• Support the migration from QuickBooks Desktop to QuickBooks Online, including archiving historical data
• Help with a later data migration and charge cleanup in a new billing platform
• Document cleanup steps and processes so the work is repeatable and easy to review
• Treat all financial records and sensitive information with strict confidentiality

Mandatory Skills:

• Strong proficiency in QuickBooks Desktop, including cleanup and correction of existing records
• Proven experience in invoicing and accounts receivable management
• Experience reconciling AR and clearing backlogs
• Comfort with screen-sharing and desktop access tools, plus a stable internet connection
• Understanding of HIPAA and confidentiality requirements, and willingness to follow data privacy procedures
• Strong analytical skills with excellent attention to accuracy
• Excellent written English
• Disciplined, careful, and productive without close oversight
• Strong communication skills

• Experience with QuickBooks Online and migrating from QuickBooks Desktop
