We are seeking an experienced, reliable, and detail-oriented Purchasing Coordinator to handle the daily purchasing and order coordination process. This is a hands-on purchasing role, not a management position. The ideal candidate has strong experience with purchase orders, vendor coordination, order expediting, and construction or building materials.
Key Responsibilities
- Review approved quotations and prepare purchase orders (POs).
- Ensure purchase orders accurately match approved quotations.
- Send orders to vendors and review vendor sales orders.
- Compare quotations, purchase orders, and vendor sales orders for accuracy.
- Verify materials, sizes, quantities, specifications, and finishes before orders are approved.
- Identify discrepancies and communicate with vendors to resolve issues.
- Follow up with vendors regarding order status, production, and delivery schedules.
- Track expected delivery dates and communicate updates to the installation team.
- Maintain accurate purchasing and order records.
- Notify management of delays, changes, discrepancies, or other purchasing issues.
- Use QuickBooks for purchasing-related tasks and records.
Qualifications
- 3+ years of direct purchasing experience.
- Previous experience as a Purchasing Coordinator.
- Hands-on experience ordering materials and expediting orders.
- Strong knowledge of purchase orders, quotations, and vendor sales orders.
- Excellent vendor coordination and follow-up skills.
- QuickBooks experience.
- Construction or building-material purchasing experience preferred.
- Fluent spoken and written English.
- Excellent attention to detail and accuracy.
- Strong communication, organizational, and problem-solving skills.
- Able to identify discrepancies and ask questions rather than make assumptions.
- Able to follow established procedures and work independently.
- Honest, dependable, accountable, and reliable.

- Available for a full 40-hour workweek during required U.S. business hours.
