We build high-converting creative systems for fast-scaling SaaS, fintech, and DTC brands, including several that have reached unicorn status. We shoot a LOT, and we're shooting more every month.

We're hiring a Talent & Production Coordinator because our talent and shoot volume has outgrown what any one person can juggle.

This is the person who makes shoots actually happen, you own talent end-to-end and keep the production engine running so creators are booked, briefed, and ready when the camera rolls.

What you'll do

  • Source talent against each client brief, build shortlists with real options, negotiate rates, lock contracts, and confirm availability against shoot dates
  • Run the availability chess: sequence scripts → talent locked → client schedules aligned
  • Build talent briefs and run sheets, wardrobe, call times, locations — so everyone shows up ready
  • Own the talent database: rates, reliability, contacts, who's worth rebooking
  • Route edits to the right editor with scripts, footage, and Asana links attached, and relay client feedback with priorities flagged
  • Handle creator invoice follow-ups and PH team admin (holiday notices and the like)

What this role is NOT

This is not a client communications role, not deliverable/scope tracking, and not priority-setting for the creative team, those sit with other people.

Your lane is talent and production coordination, and you own it fully.

What we're looking for

  • Proven experience wrangling creators, talent, or contractors — sourcing, negotiating, booking
  • You can hold a dozen moving parts (scripts, talent, crew, dates) without dropping one
  • Comfortable negotiating rates and holding a budget line
  • Fluent in Asana and organised by instinct — run sheets, trackers, follow-ups
  • Sharp written English and proactive communication — you flag clashes early, not after they blow up

Strong preference for: experience coordinating video/UGC shoots · a talent or creator network you can tap

Bonus: you've built or owned a talent/vendor database from scratch
