Job Summary:
We're keen to bring on a highly capable Executive Assistant to help organize, grow, and monetize a fast-moving portfolio of creative and business ventures. The role reaches well beyond calendar management - you'll spot revenue openings, run outreach campaigns, run research projects, and keep several initiatives moving under your own steam. The right person is a critical thinker with leadership experience, strong business instincts, and the confidence to make sound decisions without waiting for direction.
Key Responsibilities:
- Run calendars, scheduling, reminders, email organization, and document management across several ventures
- Look into and spot partnership, sponsorship, and booking openings, then run outreach and follow-up to land them
- Build and hold contact databases, opportunity trackers, and pipeline records
- Coordinate bookings and shoots, arrange deliverables, and track payments through to receipt
- Carry out market, vendor, competitor, and pricing research to back a new product-based business launch
- Look into business setup requirements, startup costs, and vendor comparisons, and set out clear recommendations
- Build and hold a goal framework that breaks annual objectives into quarterly, monthly, biweekly, and weekly actions
- Put together a weekly performance review covering openings created, revenue influenced, costs avoided, and time saved
- Use data and analytics to weigh what's working, flag what isn't, and put forward adjustments to strategy
- Rebuild schedules and priorities on a fixed cadence, making sure nothing stalls or falls through the cracks
- Triage incoming work by urgency, revenue impact, and required involvement, escalating only what genuinely needs a decision
Mandatory Skills:
- Proven experience as an executive assistant, operations coordinator, or business support professional
- Prior leadership experience and comfort owning projects end to end
- Strong research skills with the ability to source companies, contacts, and market data under your own steam
- Experience with cold or warm outreach by email, follow-up sequences and response tracking included
- Confident with spreadsheets, trackers, and basic data analysis to measure performance
- Excellent written English and professional communication with external brands and partners
- Strong prioritization and project management skills across several concurrent workstreams
- Dependable, precise, and able to work with little supervision
- Sound judgment to make reasonable decisions when the manager is unavailable
Preferred Skills:
- Experience backing a founder, creator, or personal brand
- Grounding in the beauty, fashion, or creative industries
- Familiarity with influencer partnerships, brand collaborations, or talent booking coordination
- Experience helping with an e-commerce or product business launch, supplier sourcing included
- Working knowledge of project management and CRM tools such as Notion, Asana, Trello, Airtable, or similar
- Ability to juggle several projects at once and shift priorities without losing momentum
- Comfort building simple systems, trackers, and processes where none currently exist
