Job description

The Procurement Executive is responsible for end-to-end sourcing, negotiation, and contract management of external contractor services and raw/supplied materials. This role ensures that the company partners with high-quality, compliant vendors while optimizing costs and securing a seamless supply chain. You would need to bridge the gap between operational needs and vendor capabilities, managing complex service-level agreements (SLAs) and material lead times with equal expertise.

Key Responsibilities
  • Lead the end-to-end RFx (RFP, RFQ, RFI) process for third-party contractor services, including facilities management, specialized labor, and technical consultancies.
  • Draft, negotiate, and finalize Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) to mitigate corporate risk and ensure service quality.
  • Conduct regular performance reviews with active contractors to ensure compliance with agreed timelines, safety standards, and project scope.
  • Verify that all contractors possess valid licenses, insurance, and adhere to local labor laws and company health and safety (HSE) policies.
  • Identify and onboard reliable suppliers for raw materials, equipment, and consumables, maintaining a robust backup supplier matrix to avoid single-source dependencies.
  • Issue Purchase Orders (POs), track shipments, and coordinate with logistics teams to ensure on-time delivery of materials.
  • Collaborate with production and project teams to forecast material requirements, minimizing excess inventory while preventing stockouts.
  • Partner with Quality Control to resolve material defects, handle vendor returns, and manage credit notes or replacements.
  • Analyze market trends and price benchmarks to drive cost-saving initiatives without compromising on quality or safety.
  • Review and verify contractor invoices and material delivery notes against POs and contracts before routing to Accounts Payable.
  • Maintain accurate procurement records in the ERP system and generate monthly spend analysis reports for senior management.
Qualifications & Requirements
  • Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Engineering, or a related field
  • 3+ of proven experience in procurement, specifically handling both service contracts and material sourcing.
  • Proficiency in enterprise procurement software (e.g., SAP, Oracle, or Microsoft Dynamics).
  • Advanced skills in MS Excel (VLOOKUPs, Pivot Tables) for spend analysis.
  • Professional certifications such as CIPS, CPSM, or APICS are highly desirable.
  • Ability to influence vendor pricing and contract terms effectively to maximize value.
  • Deep understanding of commercial terms, legal liabilities, and SLA structures.
  • Excellent communication skills to align expectations between internal project managers and external vendors.
  • A proactive approach to resolving supply chain bottlenecks, material delays, or contractor disputes.
