About the role
This role involves initiating and maintaining effective coordination with other departments and divisions, consolidating and generating various division-level reports, and supporting PMO functions and project governance. The position requires hands‑on involvement in budget monitoring, cost tracking, and financial reporting, along with managing project documentation and tracking department activities and deliverables.
Qualifications
- Bachelor's Degree in Business Administration, Management, Finance, Information Technology, or a related field
- Minimum of 5 years of experience in PMO, project coordination, project administration, or a closely related role
- Strong knowledge of project management tools, methodologies, and techniques
- Experience in report generation, project reporting, and management reporting
- Hands‑on experience in budgeting, budget monitoring, cost tracking, and/or financial reporting
- Experience supporting PMO functions, project governance, or portfolio management
- Experience with budget forecasting, variance analysis, and financial tracking
- Experience in project documentation, including maintaining project records, trackers, status reports, meeting minutes, and other project‑related documents
- Experience in inventory, asset, or resource management; experience with foreign/international asset inventory
- Excellent computer skills, particularly in Microsoft Office applications such as Excel, Word, and PowerPoint
- Strong prioritization and organizational skills to effectively manage multiple projects, tasks, and deadlines
- Excellent written and verbal communication skills, with the ability to coordinate with different stakeholders
- Ability to multitask and manage competing priorities effectively
- Strong analytical and critical‑thinking skills, particularly in reviewing project data, reports, budgets, and documentation
- Highly organized and detail‑oriented, with strong attention to accuracy and completeness
Key responsibilities
- Initiate and maintain effective coordination with other departments and divisions
- Maintain division training plans and monitor actual training execution
- Consolidate and generate various division‑level reports
- Enforce quality standards, process improvements, continuous improvement initiatives, and audit finding closure
- Track department activities and deliverables
- Assist the department head in personnel management, including seating arrangements, budget versus actuals tracking, recruitment workflow, training completion monitoring, and performance appraisal processes
- Collaborate with heads to continuously improve division delivery outcomes and team engagement
- Perform other related duties as assigned
