Job summary

VGW is seeking a Payroll & Timekeeping Specialist to join our Finance Operations team in Manila. This role ensures accurate payroll processing, maintains timekeeping data, and coordinates with stakeholders to resolve discrepancies in line with Philippine labor regulations.

The ideal candidate has at least 5 years of hands-on payroll experience, strong data governance, and advanced Excel skills. Knowledge of payroll systems and DOLE and tax compliance is essential for accurate, on-time pays.

Qualifications

• Minimum 5 years in hands-on payroll processing, with data validation and compliance oversight.
• Strong knowledge of Philippine labor laws and statutory requirements (BIR, SSS, Pag-IBIG, PhilHealth, DOLE).
• Experience with payroll system implementation or migration is a plus.

Responsibilities

• Maintain and enforce timekeeping policies including attendance, tardiness, overtime, and holidays.
• Verify accuracy and completeness of timekeeping entries before payroll runs.
• Perform variance analysis to detect and resolve payroll anomalies.
• Process bi-weekly payroll with correct gross pay, deductions, and net pay per law.
• Handle out-of-cycle payments (final pay, 13th month, prorations) per policy.
• Produce payroll reports and reconcile with Finance and remittances; provide audit docs.
• Monitor DOLE, BIR, SSS, PhilHealth, Pag-IBIG compliance and updates.
• Maintain audit-ready payroll documentation and SOPs; handle payslip inquiries.

We have an exciting opportunity to join our Finance Operations team, we are currently looking for a Payroll & Timekeeping Specialist to join the team.

The Payroll & Timekeeping Specialist serves as the organization's first line of defense in payroll accuracy, data integrity, and statutory compliance. Beyond transactional processing, this role is accountable for proactively governing timekeeping data, performing variance analysis, and coordinating with key stakeholders to identify and resolve discrepancies before they impact employees. This role exists to ensure pay is processed accurately, fairly, and in full alignment with Philippine labor regulations.

Key responsibilities will include:

• Maintain and enforce timekeeping policies covering attendance, tardiness, overtime, and holidays within the existing system.
• Verify accuracy and completeness of all timekeeping entries such as attendance logs, overtime, leave, and holiday pay, and confirm proper approvals are in place before payroll runs.
• Perform variance analysis every cycle to detect and resolve anomalies including missing attendance entries, unusual overtime patterns, unexplained payroll cost fluctuations, and inconsistent pay records - ensuring no discrepancy is missed before payroll is finalized.
• Process bi-weekly payroll runs ensuring accurate computation of gross pay, statutory deductions, and net pay in compliance with Philippine labor laws.
• Process out-of-cycle transactions including final pay, 13th month pay, and prorated salaries in accordance with company policies and statutory requirements.
• Produce monthly, quarterly, and year-end payroll reports, reconcile records against Finance and statutory remittances, and provide audit documentation as needed.
• Monitor and document Philippine statutory compliance requirements and updates - DOLE, BIR, SSS, Philhealth, and Pag-IBIG, to keep the payroll framework aligned with current regulations.
• Maintain audit-ready payroll and timekeeping documentation in line with internal controls and statutory requirements.
• Create, maintain, and regularly improve SOPs and guidelines for payroll, timekeeping, reporting, and escalation protocols.
• Issue accurate and timely payslips; address payroll inquiries promptly and elevate discrepancies to the appropriate team for resolution.

What you will bring to the role:

• Preferably with a Bachelor's degree in Accountancy, Finance, Human Resources, Business Administration or any related field.
• Minimum of 5 years of hands on payroll processing experience, with a demonstrated expertise in data validation, variance analysis, and compliance oversight. With a solid understanding of the Philippine labor laws and statutory complaince such as BIR, SSS, Pag-IBIG, Philhealth and DOLE.
• Prior experience with exposure to payroll system implementation or migration is a strong advantage.
• Demonstrated ability to work independently in a payroll environment, with a strong focus on data governance and accurancy.
• Experience conducting Root Cause Analysis (RCA) on payroll variances and escalating payroll and timekeeping discrepancies before they impact employees.
• Advanced Microsoft Excel skills such as pivot tables, VLOOKUP/XLOOKUP, data validation, and other related functions applicable to payroll and timekeeping.
• Strong background in stakeholder management - experienced in coordinating with People Partners, Operations, and Finance teams to resolve data discrepancies and drive process improvements.
