CAPLINQ Philippines, Inc. in Manila is seeking an organized Order Fulfillment & Operations Coordinator to manage end-to-end order processing for our Netherlands operations.

You will coordinate with customers, international warehouse teams, and internal sales to ensure accurate orders and on-time deliveries. The role requires 2+ years in order management or logistics, proficiency with ERP systems (NetSuite preferred) and MS Office.

Qualifications

• 2+ years of experience in order management, order processing, or logistics coordination.
• Fluent written and spoken English.
• Willing to align with Netherlands hours (09:00–17:00 CET).
• Proficiency in ERP systems and Microsoft Office (Excel, Outlook).
• Experience with NetSuite is desirable.
• Background in manufacturing, distribution, or international logistics is desirable.

Responsibilities

• Process customer orders accurately in ERP from receipt to delivery.
• Prepare shipping quotations promptly.
• Monitor order progress and resolve delays or issues.
• Coordinate with warehouses and logistics providers for on-time dispatch.
• Maintain accurate customer, order, and transaction records.

About the role

We are seeking an organized, detail-oriented Order Fulfillment & Operations Coordinator to join our team in Manila. In this role, you will manage end-to-end order processing and operations for our business operations located in the Netherlands. This is a varied, hands‑on position where you will coordinate the complete order process—from initial receipt through to final delivery. Working closely with customers, international warehouse teams, and internal sales, you will ensure high accuracy, on‑time deliveries, and smooth operational flow.

Key responsibilities

• Process customer orders accurately in internal ERP system from receipt through delivery
• Prepare shipping quotations promptly
• Monitor order progress proactively and resolve operational delays or issues
• Coordinate with warehouse teams and logistics providers to ensure on‑time dispatch and delivery
• Maintain complete and accurate customer, order, and transaction records
• Check customer invoices
• Respond professionally to customer inquiries regarding order status, product availability, and delivery updates
• Build positive relationships with international stakeholders through clear, timely communication
• Collaborate with internal teams to resolve order discrepancies or billing queries
• Assist with restocking and invoicing administrative workflows

About you

• Fluent written and spoken English
• Full alignment with Netherlands business hours (09:00 – 17:00 CET)
• 2+ years of experience in order management, order processing, sales support, customer operations, or logistics coordination
• Proficiency in business systems/ERPs and Microsoft Office applications (Excel, Outlook)
• Excellent organizational skills, strong attention to detail, and the ability to prioritize tasks in a fast‑paced environment
• Prior experience with NetSuite or similar enterprise ERP platforms (desirable)
• Background in manufacturing, industrial distribution, supply chain, or international logistics (desirable)
