About the role
The Operations Coordinator provides administrative, coordination, and organizational support to the Operations Department. The role is responsible for monitoring and coordinating event requirements, equipment, manpower, truck and logistics schedules, inventory, and operational documentation. The position serves as a central coordination point between the Operations, Warehouse, Logistics, Accounting, and event teams, ensuring that requirements are properly planned, tracked, documented, and completed on time.
Key responsibilities
- Coordinate and monitor equipment and event requirements, including approvals, availability, allocation, and changes.
- Prepare and monitor manpower requirements, schedules, and assignments, including coordination of rates with Accounting.
- Prepare and monitor truck and logistics schedules for loading, delivery, transfer, pull-out, and returns.
- Monitor daily equipment inventory, including releases, returns, transfers, and discrepancies.
- Maintain and update Google Sheets and operational tracking systems for equipment, manpower, inventory, logistics, and events.
- Coordinate with Operations, Warehouse, Logistics, Accounting, and event personnel regarding requirements, schedules, and updates.
- Follow up on pending requirements and ensure timely completion.
- Maintain organized operational records and documentation.
- Report delays, discrepancies, missing requirements, and other operational concerns to the Operations Manager.
- Provide the Operations Manager with regular updates on upcoming and ongoing events.
About you
- Bachelor's degree in Business Administration, Operations Management, Office Administration, Logistics, or a related field is preferred.
- Experience in event operations/production, logistics, warehouse coordination, project coordination, or administrative work is an advantage.
- Proficient in Google Workspace, particularly Google Sheets, and Microsoft Office, particularly Excel, Word, and PowerPoint.
- Experience with inventory tracking, scheduling, manpower coordination, and operational documentation is an advantage.
- Strong organizational, communication, coordination, documentation, and follow-up skills.
- Highly detail-oriented, proactive, responsible, and accountable, with the ability to manage multiple events, deadlines, and requirements simultaneously.
- Able to work under pressure, adapt to changing event requirements, and solve operational concerns.
- Comfortable learning and using event-related, inventory, scheduling, project management, and other digital systems.
- Must be trustworthy and able to maintain confidentiality.
