Role Overview:
We are looking for a highly organized and proactive Operations Assistant to ensure the seamless execution of our academic programs and daily business operations. In this role, you will be the backbone of program delivery- managing resources, coordinating with faculty and students, and ensuring that every course runs efficiently from orientation to graduation.
Core Responsibilities:
1. Program Preparation & Execution
- Lead the end-to-end preparation for course requirements, ensuring all materials, schedules, and venues are secured before program launch.
- Act as the primary coordinator for program logistics: managing attendee lists, confirming start/end dates, and syncing with the Sales team for any schedule adjustments.
- Facilitate the production and distribution of student kits, course packets, and welcome materials, including coordinating with local and international providers for timely delivery.
2. Student & Faculty Liaison
- Serve as the main point of contact for students regarding schedules, classroom assignments, grades, and certification releases.
- Coordinate directly with teachers and professors to provide administrative support, manage timesheets, and ensure they have the necessary materials for instruction.
- Conduct professional student orientations and facilitate culminating activities/graduation programs.
3. Academic Data & Reporting
- Monitor and analyze key student metrics, including enrollment counts, attendance, passing rates, and attrition.
- Prepare and submit analytical reports to management to help track program success and operational efficiency.
- Manage the Learning Management System (LMS) by uploading presentations, assessments, and digital course materials.
4. Communication & Quality Assurance
- Draft, refine, and manage official email communications for participants, ensuring all messaging is professional and approved by management.
- Oversee external examination schedules and coordinate logistics for candidates where applicable.
- Serve as a \"Quality Assurance\" presence in the classroom, fostering a positive learning environment and acting as a bridge between students, faculty, and management.
5. Administrative & Facilities Management
- Manage classroom and venue reservations, optimizing space utilization for all scheduled programs.
- Process essential documentation, including the issuance of student certificates and the handling of partner institution requirements.
- Handle ad-hoc operational tasks and projects as assigned to support the organization's growth.
Qualifications:
- Bachelor’s degree in Business Administration or equivalent
- With 2-3 years of relevant work experience
