Job summary

Qualifications

• At least 2 years of experience in bookkeeping or accounting administration.
• At least 1 year of hands-on experience using QuickBooks Online (QBO).
• Strong working knowledge of AP, AR, vendor bills, credits, invoicing, and reconciliations.
• Proficiency in Microsoft Excel or Google Sheets for analysis.
• Excellent written and verbal English communication skills.
• Ability to independently manage recurring daily/weekly/monthly activities.
• High attention to detail with sensitive financial information.

Responsibilities

• Enter and review vendor bills in QBO, verify terms, coding, quantities, and totals.
• Investigate duplicates, discrepancies, and escalate unresolved issues.
• Process invoices manually when automation requires intervention and issue to customers.
• Manage prepaid orders and coordinate payments and status with teams.
• Prepare and issue purchase orders for direct-ship orders and coordinate with vendors.
• Respond to routine accounting inquiries from customers, vendors, and internal teams.
• Maintain customer/vendor records and supporting documents.
• Maintain an organized exception tracker with next steps and escalations.
• Reconcile vendor statements and investigate missing bills, credits, or discrepancies.
• Perform QBO reconciliations and research unusual transactions.
• Monitor open direct-ship POs and update statuses with next actions.
• Update pricing in QBO and perform periodic spot checks for accuracy.
• Prepare weekly reports on discrepancies, aging orders, and reconciliations.
• Review customer accounts monthly for payments and credits; issue statements.
• Complete month-end reconciliations and document variances for leadership.
• Review vendor/customer accounts for missing or outdated docs.
• Support customer collections and follow-ups on overdue balances.
• Assist weekly AP processing and prepare payment queue for approvals.
