Job Summary:
We're pleased to be taking on a Real Estate Admin VA (MLS Entry Specialist) to take hold of the entry and upkeep of residential property listings across several regional MLS systems. In the role you'll work listing orders from our internal system, key in complete and compliant listing data, upload photos and supporting documents, and keep every listing current as properties move through their lifecycle. This is a precision-driven position where accuracy and consistency count for more than volume, and it calls for someone who has truly worked inside MLS platforms before.
Key Responsibilities:
- Key new residential property listings into the correct regional MLS system based on property location
- Pull work from the internal order queue and work listings in line with turnaround expectations
- Upload property photos, disclosures, and supporting documents to each listing
- Apply the correct field requirements, formatting rules, and compliance standards for each individual MLS board
- Update listing statuses as properties move through the pipeline (active, pending, price change, sold, withdrawn)
- Check listings for accuracy and completeness before and after publishingHold listing data integrity across every active market, putting right errors and inconsistencies as they surface
- Track completed and pending entries so the queue stays current and nothing slips
- Pass on progress, blockers, and clarifying questions promptly through internal channels
Mandatory Skills:
- Proven hands-on history keying in and steering listings in an MLS system (this is a firm requirement)
- History working across more than one MLS board or regional system, with a grasp that field requirements and rules differ between them
- Strong attention to detail and a high standard for data accuracy
- Capacity to follow detailed, market-specific procedures consistently without shortcuts
- At ease working from a task queue inside proprietary or internal software
- Solid computer literacy, file handling, document uploads, and web-based platforms included
- Dependable, precise, and able to work under your own steam with little supervision
- Strong written and verbal communication skills in English
Preferred Skills:
- Footing as a listing coordinator, transaction coordinator, or real estate administrative assistant
- Familiarity with residential real estate transaction terminology and documentation
- Practical history with Microsoft Teams or similar workplace communication tools
- Exposure to iBuyer, investor, or high-volume residential acquisition workflows
- Capacity to keep several markets and competing deadlines running at once
- History picking out and flagging data or compliance issues proactively rather than waiting to be asked
