We're recruiting for a Real Estate Admin VA (MLS Entry Specialist) to own the entry and maintenance of residential property listings across multiple regional MLS systems. In this role, you'll process listing orders from our internal system, enter complete and compliant listing data, upload photos and supporting documents, and keep every listing current as properties move through their lifecycle. This is a precision-driven position where accuracy and consistency matter more than volume, and it requires someone who has genuinely worked inside MLS platforms before.
Enter new residential property listings into the correct regional MLS system based on property location
Pull work from the internal order queue and process listings in line with turnaround expectations
Upload property photos, disclosures, and supporting documents to each listing
Apply the correct field requirements, formatting rules, and compliance standards for each individual MLS board
Update listing statuses as properties move through the pipeline (active, pending, price change, sold, withdrawn)
Review listings for accuracy and completeness before and after publishing
Maintain listing data integrity across all active markets, correcting errors and inconsistencies as they are identified
Track completed and pending entries so the queue is always current and nothing is missed
Communicate progress, blockers, and clarifying questions promptly through internal channels
Proven hands-on experience entering and managing listings in an MLS system (this is a firm requirement)
Experience working across more than one MLS board or regional system, with an understanding that field requirements and rules differ between them
Strong attention to detail and a high standard for data accuracy
Ability to follow detailed, market-specific procedures consistently without shortcuts
Comfortable working from a task queue inside proprietary or internal software
Solid computer literacy, including file handling, document uploads, and web-based platforms
Reliable, detail-oriented, and able to work independently with minimal supervision
Strong written and verbal communication skills in English
Background as a listing coordinator, transaction coordinator, or real estate administrative assistant
Familiarity with residential real estate transaction terminology and documentation
Experience with Microsoft Teams or similar workplace communication tools
Exposure to iBuyer, investor, or high-volume residential acquisition workflows
Ability to manage multiple markets and competing deadlines simultaneously
Experience identifying and flagging data or compliance issues proactively rather than waiting to be asked
