Newport World Resorts is seeking an Administrative Support professional to assist lawyers in the Legal, Admin and Corporate Affairs Department. Responsibilities include drafting templates, filing, and records management to ensure compliance and efficiency.
The role covers corporate housekeeping, IP filings, notarial support, and routine office administration, requiring attention to detail and confidentiality in handling legal documents.
Provide administrative support and assist lawyers in the Legal, Admin and Corporate Affairs Department (“Department”). Duties include filing and records management, legal document preparation, secretarial support, and office management.
Draft template contracts, correspondence, memoranda, reports, forms, and such other documents and papers, as needed or upon request or instruction of the lawyers in the Department.
Assist in Corporate Housekeeping by drafting legal documents such as Secretary’s Certificates, Minutes of the Board and Stockholders’ Meetings, General Information Sheet (GIS), and other related documents of the Company and its subsidiaries to keep the company operating in line with legal policies.
Assist in the preparation and filing of Trademark Applications, Registrability Reports, Certificates of Registration, Declarations of Actual Use and other Intellectual Property Office (“IPO”) documents.
Conduct research upon request or instruction of the lawyers in the Department.
Assist the lawyers of the Department in providing notarial services to internal and external requestors.
Maintain an appropriate filing system to preserve the vital legal documents and records of the Company and its subsidiaries.
Maintain a user-friendly space allocation plan and filing system for legal documents such as GIS, minutes, reports, contracts, correspondence, and other legal files to ensure expeditious retrieval from file storage upon request.
Create digital copies of legal documents to serve as a countermeasure in case of physical damage, loss, or destruction due to disasters and calamities.
Identify and organize files for storage in the Offsite Storage Facility and those for disposal in accordance with the retention schedule and policy.
Ensure strict compliance with access restrictions in accordance with departmental policy and procedure to secure data security and confidentiality.
Conduct periodic audit and inventory of Corporate Compliance and Contracts documents to ensure proper safekeeping.
File the necessary requests for payment or cash advances and reimbursements for all the expenses of the Corporate Compliance and Contracts Unit, including payment of retainer and IPO fees, among others.
Efficiently manage Cash Advance and/or Revolving Funds issued to the Department. Ensure proper reconciliation and liquidation based on Finance Team’s Policies & Procedures.
Ensure that requests for Transportation and Meeting Rooms of the Corporate Compliance and Contracts Unit are promptly and efficiently met.
Log and record all requests and statuses of Secretary’s Certificates, Contracts, Letters, Correspondences, Reports, Legal Advice, Corporate Housekeeping and such other documents, papers and output released by the lawyers of the Department.
Training & Development
Attend appropriate skills & knowledge improvement training to upskill and expand capabilities for stronger job performance.
Graduate of any four (4) year Bachelor's Degree course.
Has at least one (1) to three (3) years of experience working in a corporate Legal Department or law firm environment.
