Job Title:
- Learning & Development Administrator (AU)
Work Setup & Schedule:
- Hybrid
- Monday to Friday
- 7:00 AM to 4:00 PM
- Required onsite during monthly and quarterly meetings.
What you’ll be doing:
- Plan, schedule, and coordinate learning sessions (virtual and in-person)
- Manage logistics end to end: bookings, calendar invites, participant communications, materials and facilitator support
- Support delivery on the day (set up, attendance capture, follow ups)
- Administer LMS: enrolments, course uploads, user access, group maintenance and assignment tracking
- Monitor completion and follow up overdue items with participants and stakeholders
- Provide first line support for LMS issues (login/access, content display, basic troubleshooting) and elevate where required
- Maintain accurate records: attendance, completions, feedback and session registers
- Prepare regular reporting dashboards/updates on key learning metrics
- Support process improvements and project tasks in consultation with the national P&C team
- Act as the first point of contact for learning queries via the national shared inbox
- Liaise with facilitators and stakeholders to keep delivery on track and risks visible early
- Liaise with other learning leads to structure learning initiatives within the company.
- Work closely with APPD Project manager to coordinate learning initiatives and any learning related projects
- Support the national learning team with invoices, meeting coordination, document preparation and general administration
- Keep stakeholders informed on progress, issues and resolutions
Skills required:
- Experience in an administration, coordination or scheduling role (ideally 1–2 years)
- Strong organisation and time management, with the ability to manage competing priorities
- Strong written communication and confidence dealing with a range of stakeholders
- High attention to detail and good follow through
- Strong Microsoft Office skills, especially Outlook and Excel
- Comfortable working with systems and data (experience with an LMS is desirable)

- Education: Graduate of any business administration or related course
- Years of Experience: Minimum 6 months of experience in an administration role
- Industry Exposure: Administration, Learning & Development, or People & Culture
- Technical Skills: Learning coordination, scheduling, record maintenance, reporting, data tracking, and general administration
- Soft Skills: Strong organisation, time management, written communication, attention to detail, follow-through, stakeholder management, and ability to manage competing priorities
- Software experience or knowledge: Microsoft Office, particularly Outlook and Excel
- Language Requirements: Strong written and verbal English skills
- Others: Ability to coordinate learning sessions, manage logistics, communicate with participants and stakeholders, maintain accurate records, and provide timely administrative support
- Preferred Qualifications:
- Years of Experience: 1–2 years of administration, coordination, or scheduling experience preferred
- Industry Exposure: Learning & Development or People & Culture experience preferred
- Technical Skills: Experience administering a Learning Management System (LMS), including enrolments, course uploads, user access, completion tracking, and basic troubleshooting
- Soft Skills: Strong stakeholder engagement, proactive approach, adaptability, problem solving, and ability to work collaboratively
- Accounting System/ Software experience or knowledge: Experience with LMS platforms and reporting/dashboard tools preferred
