Outsourced.ph is seeking a Junior Accounts Payable Officer in a hybrid role based in Metro Manila (Eastwood). The role covers processing of invoices, supplier payments, and reconciliations, with payroll-related accounting support and month-end activities.

You will work within Outsourced Shared Services, reporting to the AP Team Lead. The position emphasizes accuracy, timely processing, and collaboration with internal stakeholders across Finance and Procurement.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 2–3 years of experience in Accounts Payable, Accounting, or a related Finance role.
  • Hands-on experience processing supplier invoices and payments, preferably for Philippine or local suppliers.
  • Experience using online banking platforms and/or payment platforms.
  • Experience performing bank and account reconciliations.
  • Basic experience preparing and posting journal entries in an accounting or ERP system.
  • Basic experience with payroll processing and/or payroll accounting is an advantage.
  • Basic understanding of AP processes, payment terms, bank transactions, and accounting entries.

JR Accounts Payable Officer

Location: Eastwood

POSITION SUMMARY

The Junior Accounts Payable Officer is responsible for the accurate and timely processing of invoices, supplier payments, bank and payment reconciliations, journal entries, payroll-related accounting activities, and other Accounts Payable activities for the Outsourced PH. The role will support day-to-day Finance Shared Services Operations by ensuring that transactions with Philippine and local suppliers are properly reviewed, processed, recorded, and reconciled in accordance with company policies and internal controls. The position directly reports to the AP Team Lead and works closely with the wider Finance team and relevant internal stakeholders to ensure timely and accurate processing of supplier transactions and month-end activities.

  • Accounts Payable & Invoice Processing
    • Process invoices from Philippine and local suppliers accurately and within agreed payment terms.
    • Review invoices and supporting documents for completeness, accuracy, and appropriate approval.
    • Verify supplier details, invoice amounts, payment terms, tax information, and banking details.
    • Perform invoice matching and investigate discrepancies before payment processing.
    • Maintain accurate and complete AP records.
    • Monitor invoice due dates and maintain an organized payment schedule.
    • Coordinate with internal stakeholders and local suppliers regarding invoice-related concerns.
    • Ensure invoices are properly coded to the correct entity, account, department/class, and accounting period.
  • Supplier Payments
    • Prepare and process supplier payments through approved online banking platforms and payment channels.
    • Process payments to Philippine and local suppliers in accordance with approved payment schedules.
    • Verify beneficiary names, bank account details, payment amounts, and supporting documents before payment processing.
    • Ensure appropriate approvals are obtained prior to releasing payments.
    • Monitor payment status and follow up on pending, rejected, or unsuccessful transactions.
    • Maintain complete payment documentation and proof of payment.
    • Coordinate with suppliers and internal stakeholders regarding payment confirmations and payment issues.
    • Ensure payment transactions are recorded accurately and on a timely basis.
  • Bank & Payment Reconciliation
    • Perform regular bank and payment reconciliations.
    • Reconcile bank statements against transactions recorded in the accounting system.
    • Match supplier payments, bank transfers, bank fees, refunds, and other transactions to the appropriate accounting entries.
    • Investigate and resolve unmatched, unreconciled, duplicate, or unusual transactions.
    • Identify timing differences and missing accounting entries.
    • Maintain accurate bank reconciliation schedules and supporting documentation.
    • Assist with month-end bank and payment account reconciliations.
    • Escalate unresolved reconciliation issues to the AP Team Lead and/or AP Manager.
  • Journal Entries & Accounting Support
    • Prepare and post routine journal entries related to Accounts Payable, supplier payments, bank transactions, bank fees, accruals, reclassifications, and other assigned Finance transactions.
    • Ensure journal entries are supported by appropriate documentation and approvals.
    • Verify account codes, departments/classes, dates, amounts, and accounting periods before posting.
    • Review posted journal entries for accuracy and correct errors or discrepancies promptly.
    • Assist with recurring and month-end journal entries, including AP-related accruals and adjustments.
    • Maintain proper supporting schedules and audit trails for all journal entries
    • Coordinate with the Finance team on AP-related accounting matters and month-end closing requirements.
  • Payroll Processing & Accounting Support
    • Assist with payroll-related processing and accounting activities, as assigned.
    • Review payroll reports and supporting schedules for completeness and accuracy.
    • Prepare and post payroll-related journal entries, including payroll costs, employee-related liabilities, statutory deductions, benefits, and other approved payroll adjustments.
    • Reconcile payroll reports to the accounting records and investigate variances or discrepancies.
    • Ensure payroll journal entries are posted to the correct accounts, departments/classes, and accounting periods.
    • Maintain complete supporting documentation and audit trails for payroll-related transactions.
    • Assist with payroll-related bank/payment reconciliation and month-end closing activities.
  • Month-End Closing & Reporting
    • Assist with AP aging and outstanding supplier balance monitoring.
    • Prepare payment schedules, bank reconciliation reports, journal entry support, and other AP-related reports.
    • Assist with month-end AP, bank reconciliation, payroll accounting, and journal entry activities.
    • Ensure invoices, payments, journal entries, and other transactions are recorded in the appropriate accounting period.
    • Follow up on outstanding reconciling items and ensure timely resolution.
    • Provide supporting schedules and documentation for internal and external audits.
  • Shared Services Operations
    • Provide reliable and timely Finance Shared Services support for the Philippine-based company.
    • Follow standardized Finance and AP processes, controls, and service-level requirements.
    • Ensure transactions are processed accurately and within established turnaround times.
    • Collaborate with Finance, HR/Payroll, Procurement, Operations, and other relevant departments.
    • Identify process gaps and recommend improvements to increase efficiency and accuracy.
    • Maintain proper documentation and audit trails for all assigned transactions.
    • Support other AP and Finance activities assigned by the AP Team Lead or AP Manager.
  • Internal Controls & Compliance
    • Follow established AP, payment, payroll, journal entry, and approval procedures.
    • Perform appropriate verification of supplier and banking information before processing payments.
    • Ensure adequate supporting documentation and audit trails for all transactions.
    • Maintain confidentiality of supplier, banking, payroll, and financial information.
    • Escalate unusual transactions, discrepancies, or potential payment risks promptly.
    • Comply with company policies, Finance procedures, and internal controls.

QUALIFICATIONS

Required

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • At least 2–3 years of experience in Accounts Payable, Accounting, or a related Finance role.
  • Hands‑on experience processing supplier invoices and payments, preferably for Philippine or local suppliers.
  • Experience using online banking platforms and/or payment platforms.
  • Experience performing bank and account reconciliations.
  • Basic experience preparing and posting journal entries in an accounting or ERP system.
  • Basic experience with payroll processing and/or payroll accounting is an advantage.
  • Basic understanding of AP processes, payment terms, bank transactions, and accounting entries.

REPORTING & WORKING RELATIONSHIP

Direct Reporting: The Junior AP Officer reports directly to the AP Team Lead, who is responsible for daily workload allocation, review, guidance, and performance monitoring.

AP Manager Oversight: The role works under the overall direction of the AP Manager and supports the AP team's objectives, controls, and service-level requirements.

Supplier Relationship: The role coordinates with Philippine and local suppliers regarding invoices, payment status, supporting documents, and other AP‑related concerns.
